About the Position The Client Registration Coordinator will use Salesforce and other tools to maintain accurate client contact and attendance records across all Free Grocery sites managed by Second Harvest. They are responsible for sending and receiving supplies and materials to and from Free Grocery distributions, in partnership with Operations, and for onsite client registration and check-in training as well as in-office administrative duties. The individual recruits, schedules, trains, and assigns administrative tasks to volunteers from the community. This role enables Second Harvest to provide accessible food and excellent service to clients and collaborates across the organization and with distribution partners and volunteers. The position will work with the Client Registration Manager to create broader training opportunities for site leaders, staff, and volunteers.

Responsibilities

Set priorities for the coordinator and guide effective time and workload management.

Spend part of time in the field (up to three site visits per quarter) engaging with partners and volunteers to ensure smooth client registration operations.

Perform administrative duties and provide support to internal teams for seamless program execution.

Recruit, place, and train administrative volunteers to help with client roster creation, packing site materials, receiving mail bags, preparing monitor packets, and entering client data.

Collaborate with Program Managers and Regional Program Coordinators to assess registration support needs, plan, and implement on-site support.

Assist with the use of tablets at sites, including training, tracking assignments, providing access codes, and coordinating with IT to resolve issues.

Provide technical assistance for registration to ensure volunteers are trained and processes are followed; uphold data hygiene and client/volunteer communications tools.

Track supply inventory and request replenishments as needed; support Programs Team and ensure excellent customer service for partners, volunteers, and clients.

Participate in meetings and projects related to client data and Free Grocery registration; assist in training site leaders and staff.

Assist with training to support site leaders and other program staff, and identify gaps in tablet use and attendance with cross-functional teams.

Other tasks as required to meet Second Harvest goals and objectives.

The Ideal Candidate Will Possess The Following Professional Qualifications

Excellent volunteer management and customer service skills; ability to work with people of diverse backgrounds and manage varying situations with composure.

Experience working with volunteers and/or low-income families and individuals.

Clear oral and written communication, ability to follow procedures and meet timelines.

Proven accuracy in data handling and ability to maintain data quality.

Discretion and independent judgment; able to work as a team member and independently with minimal supervision.

Flexibility and adaptability to changing needs.

Strong computer skills, including word processing and database management; experience with a CRM system is highly desired.

Bi- or multilingual fluency is a plus; nonprofit experience is a plus.

Reports To Client Registration Manager

Location Second Harvest of Silicon Valley, San Jose & San Mateo Counties.

This is a hybrid position. Specifics of work location depend on department need. Regular remote work site should be within driving distance of one of Second Harvest locations and within California.

Hours Full-Time. Exempt. 40 hours/week, with some evening and weekend work as necessary.

Compensation $70,075 to $74,262. Salary is commensurate with skills and experience. Benefits include health coverage, 4-5 weeks of Flexible Time Off, eleven paid holidays, and a retirement plan.
