Pico is seeking a dispatcher to join the team. The dispatcher is responsible for managing daily dispatch operations, ensuring efficient scheduling of loads, improving route efficiency, and supporting owner-operators and company drivers. This role also involves customer communication, billing coordination, and maintaining accurate dispatch records. Coordinators are expected to ensure seamless handoffs, address issues proactively, and uphold Pico's values of Service, Efficiency, and Safety.
Duties/Responsibilities:
Dispatch
Perform daily order entry and dispatch of loads to drivers and owner-operators. Use logistical measures to reduce empty miles and increase profitability. Maintain and update dispatch sheets with load counts, driver counts, and other pertinent details. Distribute daily dispatch sheets to leadership, fleet, and billing teams. Manage trailer assignments, coordinate purging and flaring as needed, and notify billing for any billable activity. Prepare daily recaps by 9am, including completed, missed, rolled, or canceled loads. Provide weekly dispatch handoffs with detailed updates on drivers, customers, volumes, and equipment status. Customer Communications
Coordinate loads with customers, including new location setup and details for drivers and billing. Communicate service issues in a timely manner. Respond to customer requests for information, proof of delivery, or service updates promptly. Ensure all emails and phone calls are addressed within one hour after hours, and immediately during business hours. Forward new business or rate requests to designated leadership (Jenny, Amanda, or Josh as appropriate). Address billing and customer questions related to loads completed during your rotation. Report any load issues (e.g., transloads, split loads, diversions, or excessive wait times) to the billing group with dispatch details. Perform additional duties as assigned by management. Scheduling
Work within the 5/2/2/3 dispatch rotation schedule, providing 24/7 coverage during assigned days. Maintain driver schedules on Teams, and ensure all changes are communicated via Slack for approval. Support schedule adjustments for PTO or appointments, ensuring seamless coverage. The absence of specific statements of duties does not exclude those tasks from the position if the work is similar, related, or a logical assignment of the position.
Qualifications
Education and Experience:
High school diploma or equivalent At least one (1) year of dispatch and/or customer service experience in the propane and oil industry Required Skills/Abilities:
Excellent organizational and time-management skills. Strong written and verbal communication abilities. Proficiency in Microsoft Office Suite and dispatch-related software. Ability to provide exceptional customer service and resolve issues effectively. Knowledge of dispatch scheduling practices and logistics coordination. Physical Requirements:
