Real Estate Office / Campus Services Responsibilities
Manages the day-to-day operations of the commercial portion of the Real Estate Office (REO) managed portfolio. Coordinates with the Residential Property Manager(s), Accounting Specialist, Financial Analyst, Operations Manager, and serves as a resource to other Property Managers and staff within the Real Estate Office. Coordinates day-to-day commercial property management, including oversight of third-party vendor services, tenant relations, associated accounting, and commercial parking lot management. Proactively keeps College commercial rental properties occupied through accurate tracking of critical date reporting. Ensures ongoing knowledge of market conditions; develops and implements tenant relations strategies and maintains relationships with tenants, responding to issues and work requests. Coordinates marketing and leasing efforts for all commercial properties, including rate strategies, advertising campaigns, marketing materials, and lease negotiations. Engages third-party brokers when appropriate. Collaborates on property renovations with Operations Manager and other Property Managers; reviews work for contract compliance and competitive bidding. Performs periodic building and unit inspections and prioritizes work to meet financial and departmental goals. Develops lease rules and regulations in collaboration with REO Property Managers, OGC, and Senior Director of Real Estate. Investigates and resolves lease issues and disputes. Provides support to Residential Property Manager(s) as required. Financial & Fiscal Management
Works with the division’s Financial Analyst and Accounting Specialist to prepare operating and capital budgets for commercial properties and monitor performance against those budgets. Prepares reconciliations of CAM charges and explains them to tenants. Reviews property management accounting, analyzes financial reports, and researches expenses. Monitors tenant receivables, sends notices/statements, and oversees aging reports. Coordinates with Senior Director of Real Estate on annual audit and appraisal processes for commercial assets. Transaction Management
Manages lease administration for adherence to critical dates for third-party transactions; coordinates notifications or negotiations with owner-landlords on terms. Collaborates with Space Planning on off-campus space requests and assists with identifying possible locations. Prepares draft contracts and leases for OGC and Senior Director approval and execution; maintains communications among parties involved in transactions. Maintains lease status reports and abstracts; assists in coordination of acquisitions, dispositions, and gift properties. Database Management
Maintains property management databases (Planon) with lease abstracts, rent increases, and notifications; conducts regular data reviews for accuracy. Leads the monthly Financial Close process in coordination with Property Manager(s). Collaborates on system configuration and reporting enhancements with REO Team and ITC. Planning and Development
Identifies and implements standardization and process improvement initiatives; participates in professional development to stay current on real estate fundamentals and practice. Culture and Employee Belonging

Bachelors or equivalent combination of education and experience. Required Qualifications – Skills, Knowledge and Abilities: Minimum five years of direct commercial property management experience. Bachelor’s degree, or the equivalent combination of education and experience. Preferred Qualifications: Strong organizational skills, ability to prioritize work and meet deadlines; ability to work independently. High level of accuracy and attention to detail; integrity and good judgment.
