$25.00/hr - $35.00/hr SUMMARY This is a fast-paced position where the coordinator plays a key role in supporting engineering project teams by managing workflows, coordinating resources, and ensuring deliverables meet quality, budget, and schedule expectations. The role requires strong organizational skills, the ability to juggle multiple priorities, and initiative to take ownership of project tasks. The PA will collaborate closely with Project Managers, team leads, and other disciplines while developing leadership and client management skills. Industry terminology in land development is also relevant. KEY RESPONSIBILITIES - General Skills and Core Duties Identify and raise issues to Senior PMs or Firm Leaders regarding resource sharing, conflicts, and project progress. Track key deadlines and communicate critical path items to the project team. Maintain project tracking tools and raise issues as needed. Coordinate all aspects of project team for agency submittals and responses. Monitor project performance to meet budgetary goals and adjust constraints based on financial analysis. Prepare correspondence such as proposals, change orders, response letters, agendas, minutes, memos, and emails. Conduct research related to project location, jurisdictions, fees, reports, applications, and submittal requirements. Coordinate and schedule meetings, including setup for food and presentations. Support multiple projects and coordinate team members to ensure workflow efficiency. Collaborate with marketing on RFPs/RFQs and proposals. Manage project paperwork, ensuring materials are current and properly stored. Assist in tracking revenue goals and progress. Represent PA responsibilities during design and team meetings. Mentor and train entry-level PAs; delegate tasks to interns/junior staff; perform basic QA/QC of plans prior to submission. Coordinate with planning and zoning departments for submittal requirements. Prepare feasibility and due diligence reports with PMs. Assist with Business Development meetings and track progress; participate in quarterly meetings. Set and pursue development goals in project, employee, and client management. Other duties as assigned. EDUCATION/EXPERIENCE Bachelor's Degree in Business or related field, or at least 2 years of equivalent experience. 2-5 years of experience as a lead project coordinator or assistant project manager managing projects and teams. Experience with engineering, real estate development, or construction firms is preferred. Proficiency with computers, Microsoft Office, Adobe, Internet, Bluebeam, etc. Experience with SmartSheet, MS Project, or similar tools. Experience with process improvement; PMP certification is a plus. Ability to build and maintain relationships with PMs, staff, clients, and agencies. Professional in various business and social settings. Knowledge of project budgets, WIPs, and cost control principles. Ability to work independently supporting multiple PMs and teams. Strategic, analytical, and creative thinking skills.
