Overview
Administrative Operations Analyst - IS Admin - Full Time 8 Hour Days (Non-Exempt) (Non-Union) Keck Medicine of USC, Hospital, Los Angeles, California Under the direction of Manager, IT Administrative Operations, the Administrative Analyst will perform administrative and executive coordination activities for management of Information Services at Keck Medicine of USC. These duties include calendar and other core office functions, as well as management of sensitive human resources and financial documentation. The role requires basic to intermediate analytical skills in electronic health record and practice management system audits. The incumbent will assist in the preparation of baseline and quarterly data for institutional dashboards and will manage Information Technology Oversight Board activity (documentation and action items). The incumbent will monitor invoicing of external departments for IT services and track central IT administration budget expenses. The incumbent will participate in and coordinate IT administrative policies and procedures, and track compliance with them among all IT staff.
Responsibilities
Act as liaison between staffing agency and department hiring manager.
Review agency contracts for terms and conditions, including ensuring fees are appropriate and negotiate as needed.
Provide assistance by analyzing budget variances and data on causes of variances related to staffing.
Review candidates’ resumes and work with the hiring manager to determine next steps.
Manage outgoing communications to candidates regarding key onboarding and staffing tasks.
Provide detailed onboarding- and offboarding-related personnel data upon request.
Schedule, coordinate, and prepare for department meetings and other recurring or ad-hoc meetings, including agenda preparation, room setup, and logistics.
Manage various project activities; project planning, coordination, and communication.
Coordinate Information Technology Oversight Board meetings, including minutes and scheduling.
Track and report budgetary expenses in the core IT administration cost center with timely reporting to the Senior Budget Analyst of IT.
Coordinate schedule, including arranging meetings and appointments for the Chief Information Officer, Chief Technology Officer, and other Administrative Representatives as assigned.
Function as liaison between Administrative Team, Administrative Support Staff and Human Resources, interpreting policy and procedures and assisting in problem identification and resolution.
Provide research and administrative support to special projects, preparing data and follow-up projects as directed.
Coordinate and confirm travel arrangements, including lodging, flights and/or ground transportation, preparation of travel authorization forms and expense reports as directed.
Use sound judgment when complications arise outside the scope of authority, escalating as needed in a timely manner.
Maintain security of information including patient medical records, hospital financial information, salary, staff and legal information in a confidential manner.
Process calls from patients, families, and the general public by assessing urgency and directing to appropriate administrative personnel as warranted.
Perform other duties as directed by CIO, CTO, and Administrative Representatives.
Order and manage supplies for the Administrative Suite and oversee maintenance of office machines.
Performs other duties as assigned.
Required Qualifications
High school diploma or equivalent.
Ability to work in a fast-paced environment.
Proficiency in core office workflow applications.
Excellent verbal and written communication skills.
Strong organizational skills.
Computer literacy in word processing, spreadsheets, etc.
Preferred Qualifications
Bachelor’s degree in a related field.
1 to 3 years of previous administrative experience.
Understanding of both information technology and healthcare environments.
Required Licenses/Certifications
Fire Life Safety Training (LA City). If no card upon hire, one must be obtained within 30 days and maintained by renewal before expiration date (required within LA City only).
The hourly rate range for this position is $29.00 - $45.20.
