$4,027 - $5,398 We’re looking for an Office Manager to lead facility coordination for the DCYF Region 5 Field Operations Tacoma Office. This position will be housed in the Tacoma Field Office and will support the Parkland Office when they transition to the 2nd floor in late fall. This position will be responsible for supervising both Parkland-assigned and Tacoma-assigned Area Administrators and will support in all office manager duties for both offices. This position works closely with the DCYF Parkland and Tacoma Area Administrators to support a team of child welfare employees in multiple child welfare programs, as well as DCYF Regional Programs, UW Alliance partners, and other DCYF partners housed within the Tacoma Centennial Complex. This position acts as the coordinator for the Tacoma and Parkland field offices and provides direct supervision and management of clerical support staff. The Tacoma Centennial Complex is a large complex serving various needs of the community and houses numerous divisions and programs. This position requires management of the Tacoma and Parkland Field Office Safety Committee and also serves as the DCYF representative and liaison for the Centennial complex Safety Committee. This position supports administrators, supervisors, and staff, serving as the liaison to other program managers and administrators housed within the building, and ensures DCYF vendors, staff, and contractors adhere to the Centennial complex procedures. This position must apply specialized knowledge and independent judgment in resolving technical problems for Tacoma Building Operations within established guidelines, coordination, completion, and preparation of documents, participation in budget/expenditure control, equipment/supplies purchases, report preparation, design of office space layout, records management, and coordination/management of DCYF staff building access. This position acts as the liaison for office requests from the UW Alliance, Building Facilities, office PBX communications, and DCYF-specific contracted vendors. Some of what you'll do

Coordinates multiple aspects of day-to-day facility operations and reports directly to the Area Administrator. Acts as the direct liaison with the building managers, vendors, contractors, regional business center, agencies, and others regarding maintenance of the DCYF offices. Supervises office clerical support staff, assigns and manages the work of the clerical unit. Manages personnel issues in accordance with administrative policy and union guidelines. Evaluates staff, recommends discipline, sets expectations, instructs, mentors, and identifies training needs. Reviews, evaluates, and recommends improvements to office policies and procedures. Serves as a liaison with landlords, contractors, vendors, and others regarding facilities maintenance. Conducts training, assigns and schedules work, and acts on leave requests. Establishes office procedures, standards, priorities, and deadlines. Performs complex secretarial duties: ordering supplies, processing mail, performing reception duties, maintaining a central filing system, faxing, photocopying, and processing disclosure requests. Provides support to the Social Service Specialists and direct support to the Area Administrator and Supervisors. Coordinates the Agency's concrete goods. Coordinates office space and workstations for staff and co-located staff. Coordinates with OSSD and DCYF Regional Business Center for the ordering and disposal of equipment, furniture, and supplies. Determines the need for equipment and/or supplies. Coordinates with vendors for purchasing office equipment and supplies. Acts as vehicle coordinator, including working with regional and headquarters staff regarding mileage, tracking, accident reporting, and maintenance scheduling for state vehicles. Monitors state vehicles assigned to the Lakewood facility, and monitors outside vehicles. Coordinates the annual completion of office risk assessments and ensures procedural guidelines are met. Actively coordinates with the building owner and janitorial specifications for the buildings. Oversees key control of keys being issued and returned for internal and external locks for the DCYF offices. Issues and maintains control of proximity cards for building occupants. Ensures the fire, security, and alarm systems for the buildings are maintained. Coordinates and participates in planning and implementation of the lease renewal process. Participates in establishing short and long-term fiscal plans, monitors budget status for FTEs and discretionary expenditures. Coordinates the annual completion of office risk self-assessments. Required Qualifications: Bachelor's degree involving major study in business administration or a closely allied field, AND one year of supervisory experience involving responsibility for planning, organizing, and coordinating work in a business office. OR

One year of experience in State service as an Administrative Assistant 2, Human Resource Assistant 2, or Data Compiler 3, or equivalent, involving supervisory or office management responsibility.

OR

Two years in State service as an Administrative Assistant 1 or Human Resources Assistant 1, or equivalent, involving supervisory or office management responsibility. OR Equivalent education and experience totaling five (5) years. One year must include supervisory experience involving responsibility for planning, organizing, and coordinating work in a business office. Previously demonstrated experience prioritizing multiple assignments in an office environment. Previously demonstrated ability to operate vehicles for maintenance/repair transport. Previously demonstrated ability to handle inquiries and complaints promptly and professionally. Previously demonstrated ability to maintain confidentiality in all aspects of the job. Experience with office organization, methods, and management principles in both large and multiple locations. Previously demonstrated supervisory skills with employees requiring extra support and guidance. Extensive inventory, supply, purchasing, equipment, and maintenance experience. Experience working with various contractors, vendors, partners, and professional units to resolve issues. Experience working with multiple programs, units, and locations to devise operational policies. Experience and knowledge of ACES/Barcode and Famlink computer systems. Experience using tracking systems for inventory and surplus management. Experience with records retention, control requirements, and storage. Experience with building security systems, card key equipment, and security control management. Knowledge of: office organization, methods, and management principles; modern methods of performing various kinds of clerical work and measuring work production; office materials, supplies, and equipment; inventory control and records management; supervisory techniques.
