SACT Scheduler (Systemic Anti-Cancer Treatment) / Administrator The closing date is 09 October 2025 About the role
The Gazzard Day Unit (GDU) SACT Scheduler is an integral member of the Gazzard Day unit and will work under the supervision of the Senior Charge Nurse. The post holder will coordinate all administrative aspects of GDU, covering both HIV and Cancer services, including scheduling and coordinating the provision of SACT, HIV care, capacity management, some clerical duties and data collection and also have managerial responsibilities for band 3 admin staff in GDU. Main duties of the job
Deal with all new SACT referrals from clinicians, ensuring the first SACT is scheduled within Cancer Waiting Time targets. Liaise directly with the patient regarding their bookings for first SACT and subsequent treatments - providing information and reassurance. Schedule all SACT treatment on GDU in line with local guidelines and protocols. Manage, amend and maintain the electronic SACT diary and ChemoCare to ensure treatment scheduling. Closely liaise with the CNS and teams in arranging venous access prior to commencing SACT. About us

Appointments, scheduling and capacity management With support of the nursing staff, manage, amend and maintain the electronic SACT diary and ChemoCare to ensure treatment scheduling is kept up to date and accurate. Plan SACT and unit capacity efficiently, considering factors such as nursing staff rota, pharmacy turnaround times and blood test results. Liaise with Medical teams and Pharmacy Technical Services to ensure SACT is prescribed and documentation is complete. Attend weekly prescribing and Clinical Nurse Meetings. Be competent at admitting patients on Cerner as day case/regular day attender/inpatient. Schedule/book referrals from the HIV services linked to GDU in a timely manner, considering overall unit capacity. Liaise with GDU nursing staff and HIV doctors regarding complex referrals. Ensure all patients leave GDU with an appointment for their relevant SACT or clinic follow up. Reschedule appointments for patients whose treatment has been cancelled or delayed. Education and Qualifications
Educated to A level, NVQ level 4 in Business and Administration or equivalent experience English and Mathematics GCSE or equivalent Qualification in Management such as First Line Manager up to certificate level Experience
Proven experience of dealing with complex telephone calls Demonstrable experience of working in an administrative role in a busy office environment Communicating with members of the public Experience of working in a team Demonstrable experience of working within customer-driven service and working to strict targets Working in NHS or other similar health care environment Some experience of supervising or training staff Experience of using a Patient Administration System Effective management of SACT referrals from clinicians, ensuring the first SACT is scheduled within Cancer Waiting Time targets Experience of working with clinicians Experience working with a wide range of people Use of an Electronic Document Management (EDM) system Skills and Knowledge
Understanding of SACT, HIV care and how these are applied in a clinic environment Able to effectively schedule and coordinate the provision of Systemic Anti Cancer Treatment (SACT) and HIV care, delivering effective capacity management Able to demonstrate sensitivity and empathy, particularly in difficult situations Competent working knowledge of Windows-based computer systems Ability to prioritise workload effectively and meet competing demands Willing to learn new systems Able to explain procedures and policy to other staff Knowledge of filing systems and ability to file accurately and pay attention to details Excellent communication skills both written and verbal Familiarity with Trust's PAS and other electronic patient administration and documentation systems Familiarity with medical records and clinical correspondence Working with outsourced typing function Knowledge of HIV treatments and surgical procedures Disclosure and Barring Service Check
