Exempt POSITION SUMMARY The Controller plays a critical leadership role in ensuring the accuracy, integrity, and timeliness of the organization’s financial reporting. This individual will oversee the accounting team and collaborate with operational leaders to develop and maintain effective financial systems and processes. The Controller manages the daily activities of the accounting department and works with all functional areas across the organization. Reports directly to the Chief Financial Officer (CFO). We are seeking a mission-driven, solutions-oriented professional with the ability to manage accounting for a dynamic organization that operates multiple programs with diverse, complex operations and a variety of funding sources including federal grants. AREAS OF RESPONSIBILITY Daily Accounting Operations Lead the day-to-day operations of the accounting department, including general ledger, accounts payable/receivable, cash, payroll, and grants accounting. Manage processing and reporting of all financial transactions, including accounts receivable, accounts payable, cash receipts, general journal entries, grant accounting, etc. Adhere to a sound system of internal controls, separation of duties, etc. Maintain a robust set of accounting policies and procedures and ensure that all operating areas of the organization are fully trained on such policies and procedures and are implementing and upgrading them effectively. Ensure all financial operations are compliant with appropriate Generally Accepted Accounting Principles (GAAP), IRS and regulatory requirements and governmental audit requirements. Develop and manage a cash flow forecasting process and advise the CEO/CFO regarding cash management strategies. Conduct ad hoc analyses as requested. Answer questions from staff concerning organization, departmental, or program finances. Monthly Closing and Financial Reporting Ensure all entries required for the monthly close are properly posted to the general ledger, and monthly financial reports are produced in a timely manner. Review and post journal entries prepared by the accounting team. Review bi-weekly payroll prior to processing. Review and post Accounts Receivable entries and ensure they adhere to accounting standards Ensure that revenue and material expenses are accrued monthly. Ensure that aggregate, departmental, and program financial reports, including comparisons of actual results to budget, are released timely. Perform quarterly review of the Schedule of Expenses under Federal Awards (SEFA) to ensure that it is being regularly updated. Assist CFO in the preparation of monthly reporting materials for CEO. Meet with the COO and/or department/program leads as needed to discuss financial performance or concerns of their respective areas. Assist with understanding financial reports/data and advise on proper coding and other program-level financial tasks. Review accounts receivable aging schedule and advise the CFO regarding reserves and A/R write-offs. Assist in the production of quarterly forecasts of company business activity and financial position. Assist CFO in preparing materials for reporting to Board of Directors and Finance Committee Co-ordinate the annual “close” of the accounting system. Budgeting and Forecasting Partner with operating areas and CFO to develop and consolidate forecast to enable tracking of forecast vs. budget results for current fiscal year. Partner with operating areas and CFO to develop annual budget, including delivering budget templates to the operating areas on a timely basis and aggregating submissions in the accounting system. Prepare future year budget vs. current year budget and current year forecast analyses in system to enable analysis by operating areas, CFO, and CEO for presentation to the Board. Audits, Tax Returns, etc. Serve as the main day-to-day contact with auditors and examiners. Ensure timely submission of requested information and schedules. Maintain a list of adjustments developed during the annual financial audit (whether suggested by the auditors or identified by staff). Post year-end adjustments to the general ledger. Compile information requested by the audit firm to complete the annual 990. Ensure timely filing of IRS Form 990 and Form 5500. Ensure timely payment and filing of state, county, and local property and personal property taxes as required. Investment and banking Manage and track the performance of investments in keeping with the policies and investment guidelines established by the Board and CEO. Steward restricted funds accounting, including federal grants and other donor-restricted funds. Ensure restricted funds are properly segregated in separate bank accounts. Other Work with program managers and the development team to produce required financial reports for all grants, contracts, and programs. Monitor and enhance internal controls and accounting procedures to safeguard assets and ensure financial integrity. Recommend and lead process-improvements as needed. Supervise and mentor accounting staff, fostering professional development and a culture of accountability. QUALIFICATIONS Bachelor’s degree in Accounting, Finance, or related field (CPA strongly preferred). Minimum of 10 years of progressive accounting experience, with at least 3 years in a leadership role including prior supervisory experience Nonprofit accounting experience in a 501(c)(3) or similar type organization with at least $10 million in annual revenue required; direct experience with government grant accounting/compliance and tracking multiple business lines and revenue streams is essential. Proficiency in various accounting software and Microsoft Excel is required. Experience with Sage Intacct is a plus. Strong analytical, organizational, and time-management skills. Ability to work under tight deadlines.
