Job Responsibilities:

Manage positive pay processes via checks and ACH with JP Morgan.

Support AR backup tasks including invoicing and cash application.

Review vendor emails, pull invoices from email, account statements, and identify past dues.

Code and voucher invoices by applying appropriate accounting codes and entering invoice data into the voucher system.

Process invoices in Adapta software.

Run AP aging reports, evaluate accounts, and prepare for check runs.

Disburse checks by matching them with invoices for signature, then mail or coordinate pickup with vendors.

Scan checks with supporting invoices and backup documentation to the designated drive.

Reconcile open invoices against work orders, identify discrepancies, and communicate with Purchasing or Vendors.

Code and voucher open invoices, enter data into Adapta and Lamsco Manager for estimating purposes.

Reconcile inventory reports against trial balances and provide weekly and monthly reports to relevant departments.

Verify vendor statement balances by pulling and comparing statements.

Follow up on vendor past due emails and account inquiries.

Verify checks through Comerica's Positive Pay system against Adapta records.

Request missing invoices and work orders from vendors and internal departments.

Update vendor profiles, including address information and W9 forms.

Process credit memos and expense reports, including coding and entering into systems.

Process incoming customer payments and COD invoices.

Perform additional duties as assigned.
