The role at a glance NBBJ San Diego is seeking a Project Administrator to provide administrative support during design and construction phases. The Project Admin will work collaboratively with the Project Management team and Studio Administrator to apply studio and firm standards for administrative processes and, as necessary, define and implement new processes to create the high performance environment for our team. The ease and ability to work with and integrate into a diverse team of designers and project managers would serve the candidate well in our highly collaborative environment.

In your new role, you will:

Work directly with the project manager to provide administrative support of all team members

Communicate with clients, consultants and regulatory agencies

Schedule and attend project meetings; compose, edit and post meeting notes

Primary gatekeeper for document posting including coordination with project managers for document uploads, downloads, file transfers, reprographics, etc.

Review, monitor and maintain document file structure

Coordinate team travel arrangements, as needed

Coordinate delivery of drawings, specifications and other project documents

Miscellaneous administrative duties, including general correspondence, filing, archiving, as needed by project teams.

What you will need to succeed:

10 - 15 years in an A/E industry project support or administrative support capacity required

BA or BS degree or higher preferred

Ability to handle multiple priorities in a fast-paced environment

Collaborative demeanor with desire to work with and integrate into a diverse, creative team essential

Knowledge and understanding of design project process is key for success in this role

Must be detail-oriented and highly organized with an unmatched ability to multi-task

Excellent written and verbal communication skills

Expert user of complex calendar/scheduling functions in Microsoft Outlook

Strong computer skills including mastery of Microsoft Office Suite required

The hourly range for this role is anticipated to be between $32.00 and $39.00. Actual compensation for successful candidates will be carefully determined based on a number of factors, including their skills, qualifications and experience.

This role requires individual to be based in the United States.
