Position Description The Office of Research and Sponsored Projects (ORSP) at Seattle University is seeking a part-time (53% FTE, benefitted position) term-limited COLead Program Coordinator. The individual in this role will oversee the administrative and project management components of the NSF-funded COLead project, which runs from September 2025 through August 2030. Continued employment is dependent on the availability of grant funding. This position plays a critical role in ensuring the smooth execution of project activities, coordination among stakeholders, and timely delivery of key milestones.
A successful candidate will demonstrate exceptional organizational skills, a collaborative spirit, and the ability to take initiative in a dynamic, multi-faceted environment. Strong communication and customer service abilities are essential, as is a commitment to continuous process improvement. The role requires someone who can manage complex logistics, support research and reporting efforts, and contribute meaningfully to the strategic goals of the COLead project.
This is a part-time, 0.53 FTE (20 hours per week) position, eligible for full medical, vision, and dental benefits. The salary range is $25,000 - $30,000 depending upon experience. After an initial training period, this position is eligible for a hybrid work arrangement.
Responsibilities
Project Management and Administration: Document and maintain notes from project meetings.
Organize peer assessment schedules, facilitate and manage logistics of peer assessment site visits, and maintain related documentation.
Coordinate scheduling and communications with peer advisors.
Support PIs and Faculty Consultant with meeting preparation, document organization, meeting and travel logistics, etc.
Under direction by PIs, manage pilot school engagement: issue calls for proposals and manage responses; prepare materials for PI team review; facilitate communication and scheduling with pilot sites; arrange travel logistics for site visits.
Other project administration, as needed
Research & Reporting Support: Under direction of PIs, conduct research that advances COLead objectives using publicly available data and resources.
Distribute, monitor, and track responses to peer surveys.
Generate and compile survey reports.
Support documentation of key processes, including peer analysis, external reviews, committee activities, and strategic planning.
Contribute to the development and organization of the project toolkit.
Assist with preparation of NSF Annual Reports.
Identify opportunities for dissemination and track conference proposal deadlines and submissions.
Committee Support & Administration: Schedule and provide administrative support for the Research Leadership Council, Grants Administration Partners, and ORSP Advisory Council.
Document and maintain notes from committee meetings.
Monitor and ensure completion of follow-up tasks.
Provide project management support to committees.
Communications & Events: Develop and maintain content for the COLead project website.
Support external communications and outreach related to the project.
Coordinate and provide logistical support for campus-based meetings, workshops, networking sessions, ORSP advisory council gatherings, and site visits involving sponsors, partners, or auditors—including room reservations and phone and video conferencing arrangements.
Qualifications
Bachelor’s degree
Minimum of 2–3 years of experience in project coordination, project management, research administration, or program support
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Strong interpersonal skills and ability to engage with faculty, staff, and external partners
Proficiency with Microsoft Office Suite and collaborative tools (e.g., Teams, Zoom, Google Workspace)
Ability to manage multiple priorities and meet deadlines in a dynamic environment
Experience coordinating events and meetings, both in-person and virtual
Demonstrated ability to work independently and collaboratively with diverse stakeholders
Desired Qualifications
Experience working in higher education or with federally funded research projects
Familiarity with NSF reporting requirements and academic research processes
Knowledge of survey tools (e.g., Qualtrics) and data visualization platforms
Experience with website content management systems

Compensation at a Glance Salary Range: $25,000 - $30,000
