:

To perform various bookkeeping functions and a wide variety of administrative tasks related to a specific educational program or administrative function. ESSENTIAL DUTIES AND RESPONSIBILITIES

:

include the following. Other duties may be assigned. Prepare and enter deposits, reconcile bank statements for student activity funds and scholarships. Sorts and distributes incoming invoices. Obtains approvals to pay on invoices without a Purchase Order. Reviews invoices sent to Central Office for appropriate P.O. documentation, accurate expense coding, and ensures complete documentation of expense before approving for payment. Evaluates all grant invoices to ensure compliance with procurement procedures and follows up on any discrepancies. Follows up with school personnel and appropriate central office personnel on any questioned items. Performs primary data entry for invoices to be processed at central office. Coordinates communication to school personnel and central office regarding upcoming deadlines for accounts payable check runs, year-end closing, additional information required for W-9's, any additional documentation required to process a payable. Assist school staff in understanding the purchasing system, coding of expenses, and compliance with purchasing procedures. Generates accounts payable checks including annual scholarship checks. Maintains Tax Exempt Certificate with the State of Vermont and communicates exempt status details with vendors. Collaborates with schools and Director of Finance to maintain district-wide consistency for payment of officiating services and associated mileage reimbursement. Oversee and carry out various day-to-day departmental administrative functions. Organize and maintain various departmental files and records, frequently involving cross-filing/cross-reference systems. Develop and maintain various logs and other manual recordkeeping systems related to assigned functions. Perform other specialized or technical administrative tasks related to the department’s primary function. Perform related duties as assigned. Serves as backup to the Accounts Payable Coordinator Payroll Process payroll, leave and Time IPS for Harwood Middle School and Harwood High School Assist Payroll & Benefits Specialist with bi-weekly payroll run and summer pays. Responsible for ensuring all payroll account reconciliations and data are accurate for the annual outside audit. Prepares annual documentation for financial audits. Ensures proper cut-off of payroll, calculates payroll accruals. Reconciles annual payroll expense accounts with 941s, for auditors. Works with Payroll Senior Specialist to balance payroll liability and withholding accounts quarterly to general ledger and maintains accurate records. Works with Payroll & Benefits specialist to file all payroll tax returns (941 and Vermont Withholding), processes tax ACH for IRS and VT every pay period. Responsible for monitoring ACH returns and working with Senior Payroll Specialist and/or A/P to reissue payment and record appropriate journal entries for the chargeback and reissuance. Responsible for completion of annual OEWS reports and other reports requested by the Vermont DOL. SUPERVISION RECEIVED

Work well with others in a cooperative environment where teamwork and constant communication is essential. Ability to stay organized and follow through on daily tasks and projects. Advanced excel skills required to create worksheets encompassing look-up formulas and other functions as needed. Ability to compile data into a presentable format. Ability to innovate processes to increase efficiency and accuracy in business office functions. Excellent writing and interpersonal communication skills. Ability to project a friendly, upbeat and approachable personality. Ability to meet deadlines. EDUCATION:

Bachelor’s Degree in Business/Accounting/Economics or similar field preferred and/or three years working in a business office environment preferred. PHYSICAL EFFORT AND STRESS
