POSITION GENERAL SUMMARY Performs clerical and support functions related to the court system. Work is performed under well established guidelines set forth by Idaho Code and requires a high degree of accuracy and attention to detail. A Civil Front Counter Deputy Court Clerk will be trained in File and Serve, Odyssey, and Customer Support. File and Serve Clerks are responsible for monitoring the online File and Serve database and processing confidential documents. Odyssey is a web-based computer system that manages our court cases. Civil Front Counter Clerks are responsible for working with the public and the legal community: scheduling hearings, processing new and consecutive filings, implementing court policies and procedures, and assisting customers with questions and concerns. DISTINGUISHING FEATURES OF THE CLASS: A Deputy Court Clerk at the Civil Front Counter generally performs key clerical functions that are often recurring in nature. However, a Civil Front Counter clerk will be required to have a broad knowledge of an array of court case types in order to perform these more complex functions of the job. Types of cases to include: Name Changes, Unlawful Detainer/Eviction, Small Claims, Foreign Judgments, BAC's, Custody, Paternity, Defacto Custodian, Legal Separation/Annulment w/ Minor Children, Legal Separation/Annulment without Minor Children, Divorce with Minor Children, Divorce without Minor Children, CPO Domestic Violence, CPO Stalking/Threat, Filing Custody Decree from another State.
Essential Functions
Acts as front-facing contact, assisting the public and the legal community with court related documents in-person and onsite, via phone, and/or email; Files paper documents over the counter; Collects fees over the counter; Process all out of court cases; Process all types of cases and documents presented to court in File and Serve; Explains policies and procedures pursuant to requests of the public attorneys and other officials and departments; Creates case files, updates databases; Reviews documents presented for compliance to standards; Responds to correspondence; Balances receipts and cash incoming on a daily basis; Handles database management for specific areas of law; Sets hearing dates and maintains calendar; Maintains high level of confidentiality; Operates office equipment; Creates legal forms, form letters, reports and similar materials; Sorts and stamps documents and files a wide variety of legal and judicial materials; Facilitates adherence of business operating hours and court schedules, including arriving punctually and on time for work. ADDITIONAL FUNCTIONS:
May cross train in other areas to perform the work of others for vacations, illness, etc.; Performs related functions as required. Job Requirements
Must have a high school diploma or equivalent; Knowledge of legal procedures documents and terminology preferred; Ability to learn wide variety of types of legal case procedures; Skill in the operation of computers; Skill in time management, including the ability to be punctual and on-time; Ability to deal with difficult customers and remain calm in sensitive, highly emotional situations; Ability to understand and follow verbal and written directions; Ability to communicate verbally and in writing; Ability to maintain confidentiality; Ability to maintain harmonious working relationships with other employees and the public; Ability to handle money accurately and make proper change. Work Environment & Physical Demands
Work is performed on-site at the Ada County Courthouse; May be required to lift or move up to 25 pounds; Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions; Requires sufficient personal mobility and physical reflexes, to permit the employee to function in a general office environment and accomplish tasks.
