The Site & Production Coordinator manages all administrative, logistical, and technical aspects of roofing projects to ensure smooth execution from contract to close-out. This role bridges the office and field by coordinating scheduling, permits, and materials, while also verifying quality, preparing supplements, and completing accurate material take-offs. The Coordinator plays a key role in protecting project margins, minimizing delays, and ensuring client satisfaction.
Pre-Production
Verify signed contracts, scopes of work, insurance approvals, and mortgage/HOA documentation.
Order permits and confirm code requirements, including mid-roof or final inspections.
Enter project setup in AccuLynx (or CRM) with photos, documents, and work orders.
Complete detailed material take-offs to verify accuracy before ordering.
Issue purchase orders (POs) and work orders (WOs) and track approvals.
Scheduling & Coordination
Schedule roofing crews and align them with material deliveries.
Coordinate dumpsters, porta-johns, and other site logistics.
Communicate daily/weekly schedules to crews, project managers, and customers.
Adjust schedules proactively in response to weather delays or production changes.
Supplementing & Financial Protection
Review insurance scopes against actual project requirements.
Identify missing or under-scoped items and prepare supplements.
Submit and track supplements to ensure approvals before close-out.
Collaborate with sales/estimating to maximize recoverable costs and protect margins.
Field & Quality Oversight
Conduct job site visits (or review field documentation) to verify workmanship and compliance.
Confirm completed work matches contract scope and local code.
Document issues and escalate corrective actions when needed.
Ensure inspections are passed on the first attempt whenever possible.
Close-Out
Collect final photos, warranties, and lien releases.
Ensure all supplements and change orders are reflected in invoicing.
Prepare and submit final invoices promptly.
Archive all project files for warranty and compliance purposes.
Experience: 3+ years in roofing or construction coordination (admin + field support).
Technical Tools: AccuLynx (preferred), Xactimate knowledge (supplements), MS Office/Google Workspace, permitting portals.
Knowledge: Roofing systems, insurance restoration process, building codes, material take-offs, and construction documentation.
Skills: Strong organizational ability, attention to detail, and ability to communicate clearly with subs, homeowners, and internal staff.
Preferred: Previous supplementing or estimating experience; ability to spot scope gaps and verify field quality.
