Finance Department Administrative Assistant

Starting pay: $15.89 per hour This position provides direct support to the Finance Director, Deputy Finance Director, and Finance Department. In addition to providing complex clerical and administrative support, other duties include providing administrative support for the Amarillo Firemen's Relief and Retirement Fund and the Amarillo Hospital District Pension Plan; serving as timekeeper for the Finance Department; and assisting in the preparation of the Annual Budget and Annual Comprehensive Financial Report (ACFR). Essential Responsibilities

Performs administrative function for the Amarillo Firemen's Relief and Retirement Fund (AFRRF) and Northwest Texas Pension Plan and assist with the annual audits. Works with active members and retirees of the plans to ensure all retirement information is provided and processed correctly and assists members with their retirement eligibility and other benefits. Prepares for and attends meetings and prepares agendas and minutes for City Boards as needed, including AFRRF, Amarillo Hospital District (AHD), and Amarillo Health Facilities Corporation. Performs records management function for Finance Department, Firemen's Retirement Fund, and the Amarillo Hospital District. Aids in preparation of Annual Budget and ACFR Processes credit card charges, payment vouchers, and purchase orders for Finance Department, Firemen's Fund and Hospital Retirement Plan. Handles timekeeping for the Finance Department Maintains Notary Public records for all city employees and establishes bonds and bond payments for all city notaries and prepares insurance renewal applications and submits to insurance provider. Prepares various letters, forms, and monthly reports and distributes to interested parties. Prepares various journal entries to record daily, monthly, and quarterly activity and adjustments Assists the Finance Director with Bond Payments and investment transactions. Completes special projects as assigned by the Finance Director. Performs other job-related duties as assigned. Minimum Requirements: Requires a High School Diploma or its equivalent and a minimum of three years of related experience. A Notary Public required or ability to obtain within 90 days of date of hire. An Associates or bachelor's degree preferred. Valid Texas Driver's License required. Knowledge, Skills, and Abilities

Strong computer skills using Outlook, Word, Excel, and other software for word processing, office, and accounting purposes. Ability to deal effectively with the public and handle confidential matters. Skill in communicating effectively in writing and orally as appropriate to the needs of the audience Skill in completing assignments accurately and with attention to detail Ability to learn new software and improve processes with existing software. Ability to work under pressure and meet close deadlines Ability to handle difficult and stressful situations with professional composure Ability to understand and follow instructions Ability to exercise sound judgement in making decisions Ability to operate standard office equipment including multi-line telephone, copier, fax, scanner, digital filing system, and manual files. The employee works in a safe and secure indoor work environment that may periodically have unpredicted requirements or demands. Regular Hours of Work

Monday-Friday 8am to 5pm. This position may be required to work outside normal shifts including evenings, weekends, and overtime as necessary by the department.
