Carlow University is currently accepting applications for our
Academic Records Associate
position. The Academic Records Associate works in the Registrar's Office and reports directly to the University Registrar. The associate's primary focus is servicing students with registrar-related requests, such as registration, transcript processing, enrollment verifications, graduation, among other duties.
ESSENTIAL FUNCTIONS: • Processes transcript and degree verification requests, student information changes, and other academic record updates and requests. • Assists University community with registration and records processes, including Self Service registration assistance, answering questions related to courses and enrollment, add/drop of student schedules in Colleague (SIS) and helping students, faculty, and staff understand university policies and course information found in the course catalogs. • Oversees the classroom reservation process. • Supervises work study students and is responsible for their hiring, training, and day-to-day management • Assists with University-sponsored events where Registrar's Office staff are needed. • Works in team setting with other Registrar's Office staff on graduation processing, diploma orders, Commencement work, and communication. • Serves as NAIA representative and coordinates with the athletic department on student athlete eligibility. • Serves as the point of contact for Marketing requests. • Manages the registration process for the Teacher Education Institute. • Greets, screens, and directs students, faculty, and staff to appropriate individuals and departments. • Maintains the integrity, accuracy, and utility of academic records using Colleague; specifically, performs duties of registration, new student creation, and correcting, changing, or modifying information contained in various databases in accordance with University policies and/or accrediting agencies. • Ensures confidentiality of student records according to FERPA guidelines. • Provides effective customer service by having a thorough understanding of applicable academic regulations, laws, policies, and procedures related to the Registrar's Office functions. • Remains competent and current through self-directed reading, developing working contacts with colleagues, and attending training and/or courses as required by the Registrar. • Manages a high volume of incoming phone calls, conveying accurate information and routing inquiries. • Capable of working under pressure and in potentially stressful situation is needed. • Works directly with Registrar's Office staff to troubleshoot and/or create enhancements within existing processes and procedures. • Performs miscellaneous job-related duties as assigned. • Demonstrates and reflects an understanding of and commitment to the mission and core values of the University and the Sisters of Mercy
MINIMUM EDUCATION: • Bachelor's Degree
MINIMUM EXPERIENCE: • 2-3 years in an office setting, higher education setting preferred
