Our Founder is a sought-after creative technologist who delivers live speaking engagements, virtual workshops, and in-person presentations.
Position Overview We are seeking an experienced Executive Assistant/Personal Assistant to provide comprehensive support to our Founder, who leads a dynamic creative technology company while managing a young family in Portland. This role combines traditional executive assistant responsibilities with personal and household management tasks, requiring someone who can seamlessly navigate both professional and personal priorities with exceptional attention to detail.
Key Responsibilities Executive Support Manage complex calendar scheduling and coordination
Client relationship management
Outbound communication, email management, and correspondence
Coordinate travel planning and logistics for business trips and speaking engagements
Provide meeting coordination and follow-up support
Forward planning, and management of priority task tracking
Personal & Household Management Aid in the Founder’s balance between high intensity work and personal/family goals
Coordinate home-related appointments with service providers
Manage family scheduling and calendar coordination
Handle personal errands including occasional shopping and item pickup
Schedule and coordination personal and family appointments
Collaborate directly with the Founder and their partner on family needs
Administrative Tasks Maintain organized filing systems and documentation
Handle confidential information with discretion
Support project coordination as needed
Assist with workshop and speaking engagement logistics
Qualifications Required Experience & Skills 10+ years of experience as a personal assistant, executive assistant, or house manager
Experience working in a services firm with exposure to high-value client relationships (e.g. a marketing or advertising agency, financial services, legal services, etc).
Very strong communication and interpersonal skills (you must love people)
Proven track record of success coordinating complex tasks with high attention to detail
Experience managing both professional and personal responsibilities
Comfortable handling confidential and sensitive information
Technical Requirements Proficiency with Apple ecosystem (iPhone, MacBook)
Experience with Google Workspace (Gmail, Google Calendar, Google Drive)
Familiarity with Notion (preferred but not required)
General comfort with technology and learning new platforms
Transportation & Logistics Valid driver's license and reliable personal vehicle for running errands, OR
Confident and timely use of public transportation in Portland area
Work Arrangement Hours: 20-40 hours per week, flexible scheduling
Schedule: Monday-Friday, mostly standard office hours.
Location: Flexible remote/hybrid arrangement with preference for at least 1-2 hours in-office weekly at the company’s NE Portland office.
Travel: Minimal, primarily local errands and appointments
