Job Summary
The Unit Secretary plays a vital role in supporting the daily operations of the surgical unit and Peri-Op Services. This role provides essential administrative and clerical support to ensure the smooth and efficient functioning of the associated units. This role also serves as a key liaison between nursing staff, surgical teams, patients, and other departments, coordinating communications, and supporting the delivery of high-quality patient care.
Key Responsibilities
- Greet and assist patients, families, and visitors in a professional and courteous manner.
- Answer and direct phone calls, relay messages, and manage communication between OR staff and other departments.
- Maintain and update unit logs, and other regulatory records in accordance with hospital policies and HIPAA regulations.
- Prepare and distribute daily OR schedules and updates.
- Order and maintain inventory of office supplies and forms used.
- Assist with data entry, filing, and scanning of documents
- Support the nursing and surgical staff with clerical tasks as needed, including printing labels, forms, and organizing patient information.
- Monitor and respond to requests for patient transport, equipment, or other logistical needs.
- Ensure timely and accurate response of patient admissions, discharges, and transfers.
- Ensure compliance with hospital policies, infection control standards, and regulatory requirements.
- Participate in quality improvement initiatives and assist with data collection and reporting.
Qualifications
- High school diploma or equivalent required; post-secondary coursework in medical terminology or healthcare administration preferred.
- Previous experience in a hospital or surgical setting strongly preferred.
- Proficiency in Microsoft Office Suite and electronic medical record systems (e.g., Epic) preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and work effectively in a fast-paced, high-pressure environment.
- Knowledge of medical terminology and surgical procedures is a plus.
