Job Summary
The Information Technology Secretary works directly with the Director of Technology to provide a high level of administrative support and confidentiality in district and department activities. The Information Technology Secretary must operate with a considerable degree of independent judgment and initiative as well as confidentiality.
Tracks and organizes technology assets.
Essential Job Functions
• Assists with the operation of the Technology Department, answers the phone, greets visitors, answers questions and provides information as requested.
• Provides guidance and assistance to teachers, administrators, and community members in answering questions related to the technology department.
• Brief supervisor regarding important issues or conflicts.
• Sets up and maintains staff and student passwords, software, goods and other technology materials.
• Ensures, in the director's absence, that requests for action and information are handled or referred in a timely manner, maintain Help Desk
• Creates graphical materials to communicate Department of Technology activities. • Creates technology related instructional material as directed.
• Manages Department of Technology web pages and intranet sites.
• Manages Department of Technology staff in-service registration site.
• Manages files and records for district grants managed by the Director of Technology; monitors grant balances; answers questions concerning grant expenditure guidelines. Keeps the director informed of grant activity.
• Prepares purchase orders.
• Purchases supplies and equipment and maintains supply inventory.
• Processes time cards/AESOP for the department.
• Distributes and monitors building keys to Technology personnel. Troubleshoots problems with office equipment and calls for service as necessary.
• Manages databases of mobile devices (laptops, Chromebooks, iPads, etc.) Facilitate and track device repairs.
• Manages access to online digital resources
Ancillary Job Functions
• Schedules meetings for the Director of Technology as needed.
• Assists in preparation of reports and other department material.
• Performs other duties as assigned.
Required Qualifications
• High school diploma or equivalent.
• 1-2 years experience as a secretary or other office professional position.
Preferred Qualifications
• Working knowledge of Google Applications & Microsoft Office. A test may be required
• Understanding of technology terms and familiarity with technical equipment.
• Knowledge of district computer programs.
Knowledge, Skills, and Abilities -
• Ability to operate various office machines (computer, telephone, facsimile, copier, etc.). • Experience with / knowledge of Internet and e-mail communications.
• Strong Google and Microsoft Office (Excel, Word, and PowerPoint) knowledge and ability to use Excel or Google Sheets to provide reporting in various forms.
• Strong Adobe Acrobat knowledge and ability.
• Ability to organize, receive, inventory, ship, track, deliver, and setup basic technology equipment.
• Provide flexible office coverage as needed in support of department operations. • Ability to efficiently maintain an office environment.
• Ability to interact with the staff, co-workers, and the public in a friendly, service oriented manner.
• Ability to function independently, adapt to change, and make sound judgment calls. • High level of organizational proficiency and ability to multitask successfully.
• Ability to interpret and communicate departmental and district policies, rules, and regulations.
• Ability to format and type correspondence, forms, memoranda, and reports from handwritten drafts or dictation; duplicates materials.
• Maintains a high degree of confidentiality on sensitive issues.
Work Environment -
• Normal office environment and moderate noise levels.
• Experience frequent interruptions; required to meet flexible deadlines.
Physical Requirements
• Must be able to work at a desk/computer for extended periods of time.
• May be required to lift up to 25 pounds.
