JOB DESCRIPTION

JOB GOAL:

To provide highly responsible secretarial and administrative tasks while ensuring the efficient operation of the office of Executive Director, Chief Officer or General Council.

QUALIFICATIONS:
  1. High School diploma or approved equivalency diploma.
  2. Minimum of six (6) years of progressively responsible secretarial/clerical experience.
  3. A comparable amount of training and experience may be substituted for the minimum qualifications.
KNOWLEDGE, SKILLS AND ABILITIES:

Ability to perform highly responsible secretarial and administrative tasks to assist the Executive Director, Chief Officer or General Council. Considerable knowledge of the organization, operation, program and goals of the District. Knowledge of office practices, procedures and operation of office equipment. Awareness of significant applicable federal, state and district policies and demonstrate ability to access same. Ability to use mature judgment in making decisions in accordance with established policy. Ability to collect and evaluate data relating to administrative functions. Ability to communicate well, orally and in writing. Ability to prepare correspondence and administrative reports. Ability to type accurately at a prescribed rate of speed and transcribe dictation. Ability to implement time management skills and handle multiple tasks.

SUPERVISES:

Assigned personnel

PERFORMANCE RESPONSIBILITIES:
  1. Serve as personal assistant to Executive Director, Chief Officer, General Council by planning, initiating, and carrying to completion clerical, secretarial, and administrative office activities.
  2. Attend conferences to take notes, or is briefed on meetings immediately after they take place in order to know what developments have occurred in matters that concern the supervisor.
  3. Make arrangements for meetings and conferences including space, time and place.
  4. Receive and route telephone calls, answering questions which may involve the interpretation of policies and procedures.
  5. Maintain administrator's calendar.
  6. Receive mail and respond, route, or forward to administrator.
  7. Review correspondence and documents before forwarding to administrator.
  8. Maintain and monitor budgets as assigned.
  9. Coordinate travel arrangements for administrator.
  10. Prepare and review materials for submission to the School Board.
  11. Ensure adherence to good safety standards.
  12. Maintain confidentiality regarding school/workplace matters.
  13. Meet and deal effectively with staff members and other contact persons using tact and good judgment.
  14. Exhibit interpersonal skills to work as an effective team member.
  15. Model and maintain high ethical standards.
  16. Represent the District in a positive and professional manner.
  17. Demonstrate initiative in the performance of assigned responsibilities.
  18. Respond to inquiries and concerns in a timely manner.
  19. Keep supervisor informed of potential problems or unusual events.
  20. Demonstrate support for the school district and its goals and objectives.
  21. Prepare all required reports and maintain all appropriate records.
  22. Maintain expertise in assigned area to fulfill project goals and objectives.
  23. Participate successfully in the training programs offered to increase skill and proficiency related to assignment.
  24. Perform other tasks consistent with the goals and objectives of this position.


PHYSICAL REQUIREMENTS:

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force as frequently as needed to move objects.

TERMS OF EMPLOYMENT:

Salary and benefits shall be paid consistent with the District's approved compensation plan. Length of the work year and hours of employment shall be those established by the District.

EVALUATION:

Performance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation of personnel.
