Financial Assistant/Secretary to Senior Director

Primary Purpose
Responsible for maintaining multiple budgets for the Instructional Support Services division. Responsible for general record keeping, accounting, invoicing, and reporting for the division.
Qualifications
Education/Certification:
- High school diploma or GED certificate, some college preferred
- Ability to communicate effectively (verbal and written) using proper English
- Ability to effectively utilize computers
- Ability to work with numbers in a rapid and accurate manner
- Ability to organize, prioritize and meet established deadlines
- Ability to maintain well-organized and accurate records
- Three years bookkeeping training and/or experience
Major Responsibilities And Duties
- Assist in organizing routine work activities for the division and specialist.
- Organize and manage office procedures such as record keeping, preparation of time sheets, and absence reports.
- Provide leadership to other support staff in the division and assist in ensuring completeness, accuracy and timelines of completion of reports.
- Oversee office needs on a daily basis. Maintain division inventory.
- Monitor and forecast multiple budgets and reports for funds. Review and reconcile budget and track expenditures.
- Assist in planning and preparation of budgets.
- Prepare and post payment authorizations, purchase orders, budget amendments, and other financial paperwork for the division and specialists.
- Develop, maintain, and distribute as required specialized records including budgets, calendars, and division procedures.
- Administer the division record keeping system and update records.
- Work with the Communication and Client Engagement divisions to update division information.
- Assist in submission of HCDE Board Agenda items, as well as contracts.
- Prepare and maintain a variety of spreadsheets and databases.
- Book monthly meetings and assist in planning agenda.
- Invoice districts/entities for contracts, registration, and materials in a timely manner.
- Research and resolve outstanding invoices.
- Serve on HCDE committees and participate in functions supporting the organization’s mission.
- Attend and participate in workshops and conferences.
- Perform other duties as assigned.
