Description

The Procurement Specialist will be responsible for providing city-wide purchasing support, performing secretarial, clerical, and office work in the administration of contracts, and providing general support to the Finance Department. Examples of Duties

Reviews contracts, purchase requisitions, purchase orders, and all formal and informal procurements documents and activities for conformance to City of Wildwood policy Confers with City of Wildwood departments to determine procurement needs and prepares informal requests for quotes and bids, and other procurement documents for the purchase of goods and services Assists and advises all City of Wildwood departments with the preparation and processing of requisitions and purchase orders Checks and reviews market sources and vendors to ensure the most cost-effective and competitive pricing for the purchase of goods and services Assists with the formal solicitation processes Provide system service, card-holder assistance, and maintain procurement card program Coordinate and administers the contracted vendors online shopping systems Tracks contracts approaching the end of their term and coordinates renewal or re-bid with departments Creates files and updates vendor files and related documentation Assists vendors with requests for payment status, tax-exempt statements, W9s, and tax identification numbers Reviews bids, contracts, and related documentation to verify accuracy and completeness Generates and prepares procurement activity reports Assists with annual activities such as year-end purchase order review and closing process Provides training and guidance to City of Wildwood personnel and vendors regarding City of Wildwood policies as they relate to proper purchasing procedures Assists with developing and improving document templates and general procurement processes All other tasks as assigned Typical Qualifications

High School Diploma or GED equivalent required At least three (3) years directly related purchasing experience, or an equivalent combination of training and experience Valid Driver's License Ability to review and interpret complex documents Ability to effectively meet and deal with the public; ability to communicate effectively, verbally and in writing; ability to handle multitasking and stressful situations Ability to work independently
