This full-time, exempt position reports directly to the Chief Administrative Officer and is responsible for managing the financial functions and supporting the administrative services of the company. Must be proficient in QuickBooks Enterprise Software. The primary duties and main areas of support include: Treasury, including invoicing, collections, bank relations, and cash flow. Accounting, which includes General and Cost Accounting. Taxes, considering the other formal duties, must be formalized in a coordination that supervises and controls all tax obligations in each of the phases of purchases and sales. Human Resources Department, to be the executing arm of the payroll administration. Financial Modeling and Analysis: Each of these functions must be performed on a routine and timely basis as established by the CAO. These functions also require specific skills, knowledge, and experience in each of these areas. Experience performing such duties in a small to medium-size marine and industrial services company is desired, but not a requirement. Job Related Competencies: Good Analytical Abilities Strong Organization Skills Good Interpersonal Skills Motivated Self-Starter Good Communications Skills Strong Team Orientation Essential Job Functions: Maintain and update records and report on financials, bank accounts, AR, AP, Cash flow, Credit Cards, and LOC balances. Maintain and support the accuracy of the cloud-based time-tracking system (T-sheets) and manage the integration with QuickBooks Enterprise Desktop. Prepare reports and attend weekly financial meetings with CAO and leadership when required to communicate financial records, status, and issues. Prepare Client Invoices for review Process client payments and paid invoices (Checks, Wires/ACH & Credit Cards). Prepare paid invoices/paid receipts and send to clients. Keep A/R Accounts Receivable current. Follow up for payment as necessary: (72 hours when Due on Receipt.) Keep A/P Accounts Payables current. Purchases for job materials must be assigned a PO# or approval by CAO. Enter vendor bills and process bills to be paid (Thursdays, for Friday check run). Cross-check that job information regarding cost is retained/entered, ensuring that bills and all purchase orders/packing slips are accounted for Record and maintain online, automatic, and reoccurring liability payments. Calculate, pay and file monthly Sales & Use Tax Returns by deadline: (By 18th of the month.) Reconciliations – (Completed by the following month no later than the 10th.) Operating, Payroll, and Line of Credit bank accounts Owner and employee company credit cards. Minimum Qualifications: A Bachelor’s degree in Accounting and/or Finance is required. Must have a minimum of 3 years of previous experience in finance and/or accounting role with supervisory experience. Strong knowledge of A/P and A/R and Accounting Principles. Proficient in daily cash-flow monitoring Strong understanding of payroll processing. Proficient in QuickBooks Enterprise Desktop with a working knowledge of software integrations Knowledge, Skills, and Abilities: Ability to maintain a high level of accuracy in reviewing, preparing, and entering information Very effective organizational skills, with ability to recognize and cross-reference. Demonstrate strong work ethic. Ability to multi-task and remain calm under pressure. Must be able to climb stairs. Computer Skills: Computer proficiency in Microsoft Windows, QuickBooks Enterprise Desktop, and Microsoft Applications. Licenses/Certificates: Legally eligible to work in the United States. Requires a valid Florida driver’s license and a clean driving record Must pass a credit check
