Position Overview:

We are seeking an experienced Office Manager / Accounting Specialist to support our financial and administrative operations. This role is part-time, requiring 25 to 30 hours per week, across 3 to 4 days, and must be performed onsite — no remote work permitted.

The ideal candidate is dependable, self-motivated, and has strong proficiency in QuickBooks Desktop and ADP Payroll, along with a solid foundation in accounting and office management.

Primary Responsibilities and Duties:

General Overview:

Maintain smooth day-to-day office operations

Assist in organizing financial workflows and documentation

Handle confidential data with the utmost integrity

Accounting Responsibilities:

QuickBooks Desktop: Enter data and prepare general ledger entries, maintain support records, and verify accuracy

Bank/Credit Card Reconciliations: Perform daily and monthly reconciliations for multiple accounts

Accounts Payable: Enter vendor invoices, prepare weekly payments, and reconcile vendor accounts

Accounts Receivable: Invoice customers, apply and record payments, and reconcile customer accounts

Payroll: Process weekly payroll through ADP, including recording journal entries

Sales Tax: Calculate, prepare, and remit monthly sales tax returns and payments, and post related journal entries

Reporting & Deposits: Handle daily reports, cash handling, and prepare/complete bank deposits

Execute additional accounting and organizational tasks as needed

Qualifications:

Relevant experience in accounting and office management

Must be experienced in QuickBooks Desktop and ADP Payroll

Solid understanding of accounting principles and procedures

Proficiency in Microsoft Excel and general computer literacy

Strong organizational skills and attention to detail

Ability to work independently, prioritize tasks, and meet deadlines

High level of integrity and discretion with confidential information

Schedule & Availability:

Part-Time: 25 to 30 hours per week

Schedule: 3 to 4 days per week (flexible within business hours) (MONDAYS ARE REQUIRED – Other days are flexible

Onsite Required: This is an in-office position only — remote work is not available
