Inventory + Ordering Coordinator Mission
The Inventory & Ordering Coordinator is a hybrid, part-time role dedicated to keeping our Apothecary stocked and organized. You’ll track inventory, manage vendor orders, and maintain product accuracy in our systems—so our on-site staff can focus on blending, labeling, and serving clients.
This is not a client-facing role. Instead, you’ll thrive in spreadsheets, ordering systems, and detail-tracking, ensuring our Apothecary runs smoothly and efficiently.
This role is the data systems counterpart to the Apothecary Production Coordinator, and together these positions keep the Apothecary running efficiently and effectively.
TERMS OF EMPLOYMENT
Part-Time
$22-25 / hour, commensurate with experience
Performance-Based Bonuses
5–10 hours/week ongoing (with peaks during seasonal ordering or product launches)
15–20 hours/week in the first 1–2 months for setup/transition
Extra 5 hrs: quarterly inventory review, year-end financial reporting
Position is remote with the requirement of onsite visits a minimum of 1x/month
Flexible schedule, with anticipatable ET business hour availability, and regularly scheduled check-in calls
Compensation:
$22 - $25 hourly
Responsibilities:
Inventory Management
Maintain and update master inventory spreadsheets.
Reconcile on-site inventory counts with Square POS records.
Track stock levels across categories (pantry, herbal, body care, miscellany).
Flag duplicate, slow-moving, or low-stock products.
Vendor Ordering & Coordination
Place wholesale orders with multiple suppliers.
Track shipments and confirm accuracy against purchase orders.
Manage vendor contacts and maintain ordering schedules.
Ensure pricing and product data are current in Square POS and the online shop.
Systems Support
Update product listings, descriptions, and pricing.
Support seasonal promotions with product updates.
Generate simple inventory reports for leadership review.
Qualifications:
Experience
2+ years of experience in inventory management, purchasing, supply chain coordination, or retail operations.
Previous work with POS or e-commerce platforms (Square, Shopify, Lightspeed, or similar).
Strong proficiency with spreadsheets (Google Sheets/Excel).
Experience managing vendor relationships and coordinating supplier orders.
You Are
Organized, detail-oriented, and love making order out of complexity.
Clear communicator who can coordinate remotely with on-site staff.
Background in inventory management, ordering, supply chain, or retail operations strongly .
Technology & Security Requirements
Must provide and maintain your own up-to-date computer equipment.
Reliable high-speed internet connection.
Current operating system and active antivirus/anti-malware protection required.
Must use secure password management and 2-factor authentication (we will provide internal guidance).
Proficiency with Google Workspace (Docs, Sheets, Drive, Gmail).
Responsible for maintaining your own software subscriptions as needed (e.g., spreadsheet, communication tools).
Must demonstrate ability to safeguard sensitive business data (vendor information, order history, product pricing).
