Job Duties
The Institutional Effectiveness Administrator plays a central role in strengthening the academic core of Virginia State University by supporting academic program development, policy analysis, and institutional effectiveness processes. This enterprise-level role ensures the strategic management of daily operations within the Office of Planning and Institutional Effectiveness (OPIE), contributing to a culture of academic excellence, continuous improvement, and regulatory compliance.
The Administrator collaborates with academic leaders and university stakeholders to guide program creation, revision, and discontinuation processes, ensuring alignment with accreditation standards, state approval requirements, and institutional goals. The role also includes leading policy development and academic process improvements that enhance academic quality and student success.
This position is key to preparing for the University's 2028 SACSCOC reaffirmation and implementation of the 2025-2028 strategic plan, GREATER by Design.
Core Responsibilities:
Academic Program Development and Compliance: Provide operational leadership for academic program development and modification, ensuring proposals progress efficiently and comply with internal and external requirements (e.g., SCHEV, SACSCOC). • Demonstrates the ability to process academic program and course proposals within established timelines. • Ensures accuracy of submitted proposals with minimal required revisions from governance bodies or external agencies. • Achieves successful approval and implementation of new programs and modifications each academic year.
Academic Policy Development and Governance: Coordinate the development, review, and revision of academic policies in collaboration with faculty, deans, and governance bodies. • Demonstrates effectiveness in completing policy reviews within required cycles. • Secures endorsement and approval of updated policies by faculty governance and senior administration. • Ensures faculty and administrators understand and can apply policies effectively, as reflected in feedback or surveys.
Accreditation and Institutional Effectiveness: Monitor and facilitate compliance with accreditation standards while supporting academic units in program evaluations, self-studies, and audits. • Demonstrates ability to ensure academic programs submit timely and complete assessment reports aligned with accreditation standards. • Minimizes findings or recommendations from accrediting bodies requiring corrective action. • Ensures academic self-studies and program reviews are completed within established cycles.
Communication, Training, and Resource Development: Serve as liaison between OPIE and academic units for curriculum governance and policy issues, while developing resources to enhance procedural understanding. • Develops and delivers training sessions and resource materials to strengthen understanding of academic processes. • Demonstrates effectiveness in increasing clarity and efficiency for academic units navigating approval workflows. • Reduces errors and delays in proposal submissions through targeted communication and training.
Strategic and Special Initiatives: Assist in planning and execution of major institutional projects, such as strategic plan implementation and accreditation reaffirmation, and lead initiatives that promote academic excellence and accountability. • Demonstrates ability to achieve progress toward institutional strategic plan and accreditation reaffirmation milestones. • Leads or contributes to special projects and initiatives that are launched and completed on schedule. • Produces measurable impact on student achievement, institutional effectiveness, or academic quality through initiatives.

Additional Considerations
PREFERRED QUALIFICATIONS:
Master's degree in Higher Education Administration, Public Policy, Organizational Leadership, or a related field, preferred.
Familiarity with regional accreditation requirements (e.g., SACSCOC) and state-level academic program approval processes (e.g., SCHEV), preferred.
Experience with curriculum management systems (e.g., CourseLeaf CIM) and document workflow platforms, preferred.
Understanding of academic catalog and faculty handbook management, preferred.
Demonstrated success leading academic policy reviews or academic governance reforms, preferred.
