Position Summary
Golden Care is seeking a detail-oriented and trustworthy Payroll & Billing Specialist to manage employee payroll, client invoicing, and financial record keeping. This role is critical to ensuring timely compensation for staff and accurate billing for services rendered to our senior clients. The ideal candidate is organized, discreet, and comfortable navigating sensitive financial matters with professionalism and compassion.
Key Responsibilities
Payroll Administration
Process bi-weekly payroll for caregivers and administrative staff
Track hours, overtime, PTO, and deductions using scheduling and payroll software
Ensure compliance with California labor laws and wage regulations
Maintain accurate employee records and respond to payroll-related inquiries
Billing & Invoicing
Generate and send invoices to private-pay clients and third-party payers
Monitor accounts receivable and follow up on outstanding balances
Coordinate with care coordinators to verify service delivery and billing accuracy
Reconcile billing discrepancies and issue credit memos or adjustments as needed
Financial Support & Compliance
Assist with month-end reporting and financial audits
Maintain confidentiality of client and employee financial data
Support documentation for vendor payments and reimbursements
Collaborate with leadership to refine billing protocols and improve efficiency
Qualifications
3+ years of payroll and/or billing experience (preferably in healthcare or service industries)
Proficiency in QuickBooks, I-Solved, Long Term Care insurance
Strong understanding of California labor laws and HIPAA compliance
Excellent attention to detail and time management skills
Professional communication skills, both written and verbal
High level of integrity and discretion when handling sensitive information
Experience in home care, hospice, or senior services
Familiarity with private pay billing structures and long-term care insurance
Ability to work independently and collaboratively in a fast-paced environment
You will be reporting directly to Owner/CEO
