Overview
We are seeking a detail-oriented Accounts Receivable Specialist to take the lead in managing client payments and financial reporting. This role will primarily focus on accounts receivable, ensuring accurate billing, timely collections, and proper reconciliation of client accounts. Additional responsibilities include support with accounts payable and payroll-related tasks. The ideal candidate is highly organized, proficient in QuickBooks Online (QBO) and Excel, and comfortable handling sensitive financial information in a deadline-driven environment. Preferred and Must have Intermediate - Expert Excel skills. Preferred Proficiency with QuickBooks Online Key Responsibilities
Accounts Receivable (Primary Focus) – Record and apply client payments accurately Prepare, review, and distribute client cost reports for mediations, settlements, and case closures Generate and send invoices, ensuring accuracy and compliance with client agreements Monitor accounts for timely payment, follow up with clients regarding outstanding balances Work closely with the bookkeeper to reconcile credit card charges and allocate expenses Accounts Payable (Support Role) – Process overhead and client-related invoices Maintain organized digital records of client costs and expenses Communicate with vendors regarding payments and discrepancies Payroll & Benefits Support – Manage 401(k) contributions through online systems Reconcile payroll entries and input data into QBO Qualifications
2+ years of experience in accounting or finance, with strong focus on accounts receivable Proficiency with QuickBooks Online (QBO) and Microsoft Excel Familiarity with legal billing systems (Timeslips, Clio) a plus Excellent attention to detail and strong organizational skills Ability to manage deadlines and prioritize effectively in a fast-paced environment Professional communication skills and ability to maintain confidentiality Benefits
