WORK SUMMARY
The Accounting Manager uses high levels of integrity to manage the daily accounting records of the church. They prepare monthly and yearly reports for Executive Staff and the organization as a whole.
JOB ACTIVITIES
Maintain Accurate Contribution Records
- Oversee team responsible for counting and depositing all contributions according to church policy.
- Post contributions weekly to individual donors' accounts and reconcile to prepared count forms.
- Prepare and distribute annual contribution statements to donors as per the most current IRS codes.
- Post receipts and disbursements of all accounts to accounting system.
- Prepare and issue checks weekly, according to church policy. Ensure proper approvals and procure appropriate signatures.
- Post all checks issued to Positive Pay System. Monitor and respond timely to any exceptions issued by the bank.
- Prepare payroll and ensure timely, accurate payments to employees.
- Prepare bank reconciliations for all bank account and credit card accounts monthly.
- Keep depreciation records.
- Perform all necessary month-end closing procedures to ensure accurate reporting.
- Maintain chart of accounts listing and tag listings. Communicate any changes to team members.
- Prepare sales tax reports and make payments quarterly.
- Prepare monthly financial statements and supplemental statements for Executive Team and Elder Board.
- Maintain a file of all invoices, expense reports, payroll records, contribution records, correspondence and reports.
- Prepare and email appropriate tag reports to executives for ministries under their supervision.
- Prepare specific reports for department heads, executives, senior pastor or elders upon request.
- Prepare credit card transaction reports monthly and distribute to credit card users.
- Import and code credit card transactions into accounting system from expense reports.
- Reconcile credit card account and make payment.
- Provide bank statement and credit card statement to Treasurer for review monthly.
- Receive and answer queries concerning financial matters.
- Monitor and enter petty cash transactions into accounting system. Replenish petty cash as needed.
- Prepare report of insurance activity for the Administrative Executive quarterly (or as needed).
- Prepare and electronically file year end 1099s.
- Submit year end tax documents to employees, contractors and distribute annual contribution statements.
- Ensure payroll reports have been properly filed through the payroll system. Print quarterly and annual reports and keep on file per record retention policy.
- Gather/approve monthly payroll timesheets for hourly staff
- Input commission into BambooHR
- Approve and submit payroll for salaried and hourly employees on time
- Maintain a high level of integrity.
- Work cooperatively with other office staff to accomplish the mission of the church.
- Monitor credit card balance regularly and make payments to reduce balance when necessary.
- Assist donors with online donation issues as they arise.
- Research and help develop procedures to protect and preserve the church's non-profit status.
- Communicate procedures to team members as needed.
- Perform other duties as needed or assigned.
- Bachelor's degree in accounting from a qualified University and/or commiserate experience.
- Experience in non-profit accounting preferred
- Advanced Proficiency in Excel
- Proficient in accounting software; familiar with non-profit accounting software preferred (Life Fellowship uses Aplos)
- Excellent verbal and written skills
