This key role serves as the first point of contact for potential clients, ensuring smooth, timely communication and courteous call answering, clear information-sharing, and efficient transfer or scheduling as directed. Responsibilities: • Act as the first point of contact by answering calls and greeting visitors, ensuring a warm and professional environment. • Handle a high volume of incoming calls: answer promptly, direct callers to the appropriate team member, and take accurate messages when necessary. • Provide courteous and professional responses to client inquiries, ensuring clear communication and a positive first impression. • Maintain the reception area and common spaces in a clean and orderly manner. • Manage incoming mail and deliveries by sorting, scanning, and routing them appropriately. • Assist with light administrative tasks, including making copies, scanning documents, and filing client records in an organized system. • Support the team by handling routine office correspondence such as letters, emails, and thank-you notes. • Perform other front-desk duties as needed to support the smooth daily operations of the firm.

We Are Looking For A Customer Service Professional With:

• Strong organizational skills and attention to detail, with a habit of proofreading and double-checking work to get it right the first time. • Reliability and trustworthiness, with the ability to maintain strict confidentiality in all client and firm matters. • A positive, energetic attitude and the ability to stay composed and results-focused in a fast-paced, professional environment. • Technological confidence, comfortable navigating multiple computer programs, databases, and phone systems with ease. • Excellent communication skills, both written and verbal—clear, professional, and welcoming with every interaction. • Empathy and interpersonal awareness, able to put clients at ease and build rapport even in emotionally sensitive situations. • A true customer-service mindset, grounded in professionalism, compassion, and a genuine desire to help others. • Experience in a law firm, professional services, or a high-volume customer service role is preferred, but not required. Qualifications:

Required

• Previous experience as a receptionist or front-desk administrator in a professional office (law firm experience a plus). • Bilingual Spanish/English with professional telephone etiquette and clear, courteous communication. • High ethical standards and proven ability to handle sensitive information with discretion and maintain strict confidentiality. • Proficiency with Microsoft Office (Outlook, Word, Excel) and comfort with multi-line phone systems, scanners, and basic office technology. • Excellent verbal and written communication skills to interact effectively with clients, court personnel, vendors, and internal teams. • Strong interpersonal skills and a welcoming demeanor that builds rapport with a wide range of personalities. • Organized, detail-oriented, and dependable, with the ability to manage multiple calls and tasks while maintaining accuracy.

Preferred

• Prior experience in a law firm or legal services environment. • Customer service or administrative experience in a high-volume, fast-paced setting. • Familiarity with CRMs or case-management systems (training provided). Compensation: $18 - $22 hourly
