These duties are to be performed in a highly confidential manner, following the mission, values, and behaviors of Insight Hospital and Medical Center. General Summary The Business Associate works collaboratively with the CMO and the Managing Director on routine tasks, assisting with initiatives and projects, managing schedules, and assisting with communication. The Business Associate also ensures fiscal responsibility, and operational efficiency and communication accountabilities with a commitment to excellence. The Business Associate is responsible for ensuring compliance with organization-wide policies and procedures, as well as compliance with state and federal regulations. Quality management principles guide the execution of overall operations, including planning and development, evaluation of services and staff competencies. Adherence to the standards of best practice and productivity are essential. What You’ll Do Directly support the work of both the CMO and the MD Manages complex calendar for both CMO and MD; reprioritizing appointments as needed to address unfolding developments Prepares travel arrangements, including airline reservations and hotel accommodations Editing rough draft correspondence, reports, manuscripts, charts, and other materials for clinical, administrative or research purposes, including highly complex and/or confidential financial/business documents Editing rough draft correspondence, reports, manuscripts, charts, and other materials, including highly complex and/or confidential financial/business documents Provides advanced technical and professional administrative support by prioritizing appointments and meetings, producing documents for CMO and MD based on priorities Follows finance protocols and policies accurately to process reimbursements, purchase orders, track invoices and problem solve accounting issues as needed Manages projects Manages events on and off site Serves as the primary point of administrative contact and liaison with other offices, individuals, and institutions; organizes and facilitates meetings, conferences, coordinates and attends committee meetings, and participates in committee discussions, as appropriate Assists with various other duties as assigned. Ability to see opportunities and solutions in every situation Demonstrates a strong ability to identify, analyze, and solve difficult problems Demonstrates ability to delegate and coordinate tasks. Analyzes financial statements, utilizing the information to make operational decisions Demonstrates a strong team player attitude while fostering team development, collaboration, and information sharing to achieve and integrate departmental objectives and institutional goals. Actively participates in the planning and development of inter/intra-departmental systems that promote efficient and quality-based services. What You’ll Bring 5+ years of experience supporting executives, leaders and senior management Business or healthcare experience improving workflows in a complex and fast changing environment Bachelors required, masters preferred Expert at managing multiple calendars simultaneously. Strong proficiency in Microsoft Word, Excel, and PowerPoint Solid organizational and time management skills with the ability to prioritize work Proven ability to effectively manage self and others through ambiguous and complex situations Detail oriented with the ability to successfully manage multiple, deadline driven priorities with minimal direction and accuracy Adept in creating complex documents, presentations, spreadsheets, reports, and business correspondence Proactive thinker: ability to anticipate and prepare ahead of need Excellent communication skills- both orally and in writing Project management experience a plus Empathetic Flexible Operates with a positive attitude
