Costa Mesa, CA (Onsite) Overview:
We are seeking an experienced HR/Payroll Administrator with at least 3 years of hands-on, multi-state payroll processing and 5 years of generalist-level HR experience. The ideal candidate has a working knowledge of labor laws and is comfortable managing both payroll and HR functions in a fast-paced, evolving environment. This is a hands-on role ideal for someone who thrives in manual processes while contributing to system automation initiatives. Key Responsibilities
Payroll
Process weekly and bi-weekly payroll for 160+ employees using ADP Workforce Now. Verify timekeeping records, wages, and resolve discrepancies. Ensure accurate entry of deductions, taxes, and benefits. Generate and analyze payroll reports as needed. Respond promptly to payroll inquiries and resolve issues. Human Resources
Maintain employee data in ADP, including new hires, status changes, and garnishments. Distribute and manage digital onboarding for new hires and rehires. Advise managers on employee relations and HR policies. Respond to HR-related inquiries regarding policies and procedures. Build strong relationships across all levels of the organization. Review and recommend HR policies and procedures as needed. Benefits
Submit bi-weekly census reports to benefits broker for new hires, terminations, and updates. Collaborate with broker and leadership during annual benefits renewal. Coordinate and support open enrollment meetings. Manage benefit deductions in ADP. Support additional HR/payroll projects as assigned. Required Skills and Qualifications
5 years of HR generalist experience. Minimum 3 years of full-cycle, multi-state payroll experience for 150+ employees. Proficient in HRIS/HCM systems, preferably ADP Workforce Now. Solid understanding of wage and hour laws and HR compliance. Able to work independently, manage multiple priorities, and maintain attention to detail. Strong problem-solving skills and ability to adapt in a dynamic environment. Effective communicator with excellent interpersonal skills. Proficient with Microsoft Office Suite, especially Excel and Outlook. Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company’s 401(k) retirement plan.
