Description
GENERAL SUMMARY: Highly motivated and experienced Executive Assistant to provide comprehensive administrative support to Leadership. The ideal candidate will be a proactive problem-solver with exceptional organizational skills, meticulous attention to detail, and a proven ability to maintain confidentiality.
LOCATION: NSWCCD, West Bethasda, MD.
RESPONSIBILITIES:
- Maintain Department and Deputy Department Head’s calendar: Schedule meetings and appointments, prioritize conflicting requests, and ensure smooth daily operations.
- Prepare presentations and correspondence: Draft and edit emails, letters, presentations, and other documents with a high level of accuracy and professionalism.
- Handle sensitive information: Maintain discretion and confidentiality regarding sensitive information and materials.
- Liaise with internal and external stakeholders: Communicate effectively with sponsors, supervisors, staff members, and other key individuals.
- Manage projects and initiatives: Assist with special projects, conduct research, and prepare reports and white papers as needed.
- Maintain office efficiency: Organize and maintain files, order supplies, and handle other administrative tasks.
- Provide proactive support: Anticipate the needs of the Executive and proactively address them.
QUALIFICATIONS:
- Bachelor's degree preferred.
- Minimum of 2+ years of experience as an assistant supporting management.
- Proven ability to manage complex calendars and prioritize competing demands.
- Excellent written and verbal communication skills, with a strong command of grammar and business etiquette.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
- Ability to work independently and as part of a team in a fast-paced environment.
- Exceptional organizational skills and meticulous attention to detail.
- Strong problem-solving skills and the ability to handle confidential information with discretion.
