The Occupational Health Office Coordinator (OC) reports to the Office Manager for the Occupational Health Clinic. The OC provides daily support for administrative operations, including patient scheduling, data entry, and general administrative support for Occupational Health and Workers' Compensation workflows. Responsibilities include front-desk coverage such as answering calls, greeting and checking-in patients, scheduling appointments, and supporting clinical operations to ensure smooth clinic functioning. The OC may also support department workflows at an enterprise level as needed.
The ideal candidate must be detail-oriented, organized, and able to work independently while managing multiple priorities. Collaboration with clinical and administrative staff is essential. Proficiency in Microsoft Office and the ability to learn other Windows-based programs are required.
Schedule: This is a float position primarily onsite at Mass General Hospital and Brigham and Women's Hospital.
Responsibilities:
- Answer calls, manage correspondence via email and fax.
- Maintain health records through electronic filing, scanning, and database management.
- Enter and retrieve data from electronic health records and other databases.
- Follow HIPAA guidelines to ensure patient privacy and confidentiality.
- Provide courteous, professional interactions with internal and external customers.
- Greet, check-in, and assist patients and staff.
- Schedule appointments and follow-up activities.
- Communicate messages accurately to clinical staff.
- Support new hire onboarding using the enterprise portal.
- Meet deadlines and support administrative activities related to Workers' Compensation.
- Reprioritize tasks as needed in a busy environment.
- Uphold Mass General Brigham values in decision-making and interactions.
- Perform other duties as assigned.
Qualifications:
- Strong computer skills, including Word, Excel, Outlook; ability to work independently.
- Effective communication and customer service skills.
- Detail-oriented with knowledge of Epic or similar clinical systems is a plus.
- At least one year of administrative experience preferred.
- High school diploma required; associate's degree preferred.
- Proficiency in English.
