Overview

The Occupational Health Office Coordinator (OC) reports to the Office Manager for the Occupational Health Clinic. The OC provides daily administrative support for clinic operations, including patient scheduling and front-desk activities. This role supports Occupational Health and related Workers’ Comp workflows, data entry and storage of clinical data in appropriate applications, and coordination of front-desk functions. The OC may also support Enterprise-level department workflows as required.

Responsibilities

  • Answers telephone calls and manages correspondence (email and fax).
  • Maintains health records with electronic filing, scanning, archiving, and retrieval of information for clinic staff.
  • Enters and retrieves data in multiple databases, including electronic health records and PeopleSoft.
  • Follows HIPAA guidelines for patient privacy and confidentiality; ensures consent forms are completed before releasing or obtaining records.
  • Provides courteous, professional service to internal and external customers.
  • Greets, checks-in, and assists patients and staff with equal professionalism.
  • Responds to inquiries within scope and refers complex questions to clinicians as needed.
  • Schedules appointments as requested by customers, HR, and staff.
  • Contacts customers for follow-up appointments after vaccinations or lab results.
  • Communicates and relays messages to clinical staff in a timely and accurate manner.
  • Supports new hire activities enterprise-wide using the new hire portal as required.
  • Meets deadlines and follows through on assigned projects.
  • Supports administrative activities related to Workers’ Comp as directed.
  • Ability to reprioritize in a fast-paced environment and manage multiple priorities.

Qualifications

  • Strong computer skills and knowledge of Word, Excel, and Outlook. Ability to work independently. Effective communication skills. Excellent customer service skills. Ability to function in a stressful environment and work effectively under pressure.
  • Detail oriented
  • Knowledge of Epic and other electronic-based clinical systems a plus
  • Strong customer service skills
  • Solid oral and written communication skills
  • At least one year of experience in administrative services strongly preferred.
  • High school diploma required. Associates degree preferred.
  • English language proficiency
