Overview
We are seeking a proactive and detail-oriented Bookkeeper / Office Manager to oversee both our accounting and day-to-day office operations. This position is based in our Southborough, MA office, requiring strong organizational skills, hands-on bookkeeping experience, and the ability to keep the office running smoothly. Multi-office and organizational communications skills via emails, phones and documents will be required.
Responsibilities
Accounting & Finance
- Manage General Ledger, Accounts Receivable and Accounts Payable
- Perform monthly bank reconciliations and maintain communication with local banks
- Handle month-end and year-end closings
- Assist with preparation and support for the annual audit
- Maintain financial records in QuickBooks (Online/Desktop)
- Manage payroll and relationships with payroll providers (e.g., ADP)
- Process and track employee expense reports
- Track employee timesheets and vacation schedules
Office Management & Administration
- Oversee office supplies, vendor relationships, and inventory re-ordering
- Handle U.S. mail, shipping, and receiving of documents/supplies
- Interface with health insurance providers and manage related paperwork
- Respond to employee queries on insurance and sundry matters
- Maintain coffee, kitchen, and general office supplies
- Support day-to-day administrative needs of a small office
- File and maintain contracts, employee records, and paper/electronic documents
Team Support
- Collaborate with our teams in the US and India via occasional early-morning calls/meetings
- Provide administrative and accounting support to management as required
Qualifications
- Proven experience as a Bookkeeper, Accountant, or Office Manager
- Proficiency in QuickBooks (Online and/or Desktop)
- Familiarity with payroll systems (ADP or similar)
- Strong understanding of AR/AP, reconciliations, and financial reporting
- Prior experience with audit support is a plus
- Excellent organizational skills with the ability to manage multiple responsibilities
- Strong communication skills, both verbal and written
- Must be able to work onsite in Southborough, MA
