Under the general direction of the Director of Education & Parent Support, provides support to all departments within the Education & Parent Support program. Responsibilities include but are not limited to:

  • Travel requests for Foster Care programs; including submitting requests for booking hotels, planes, car rentals, trains, buses, and coordinating and requesting UBERs for parents, staff, and foster parents. Handling after hours (evenings and weekends) emergency requests.
  • Complete and submit expense reports for the program via COUPA.
  • Keep purchase cards secure; provide them to staff when requested and track and maintain their location.
  • Secure and track receipts for petty cash, metro cards, and purchase cards.
  • Complete requests for metro cards and submit them for replenishment.
  • Complete requests for petty cash and submit for replenishment.
  • Submit vital document requests to ACS, hand delivering request packages to ACS, and picking up vital documents from ACS. Track and maintain vital document requests.
  • PYA: download and submit for youth stipends. Track and distribute youth stipend checks to staff.
  • Credit Checks: Submit credit checks via 3 credit bureaus, provide to staff, track and maintain copies.
  • Assist Director and Supervisors with hiring staff for the program by scheduling interviews, checking references, and coordinating with Human Resources.
  • Assist program with events and trips for youth.
  • Submit orders for SCO programs via Amazon, Instacart, etc.
  • Answer emails, make copies, scan, and fax for the program.
  • All other tasks assigned by Director.

QUALIFICATIONS

Modern management principles, practices, and techniques of office administration, organization, and operation. Principles of training and performance review and correction. Effective communication techniques. Equivalent to an associate degree or HS/GED.

WORKING CONDITIONS

Work is performed in an office setting. Operates standard office equipment, including computer keyboard, telephone, fax machine, copier, and calculator. Must be able to work well under pressure in a fast-paced environment.

SCOPE OF RESPONSIBILITY

Coordinates the office activities of the department. Reports to Director and assists with the needs of the department.
