Job Summary
Provide administrative and operational support to CAHS administration, department chair and faculty by planning, organizing and budget oversight in the Department of Physician Assistant.
Responsibilities
- BUDGET MANAGEMENT – Oversight of the department budget from all fund sources; purchase office, teaching and research supplies, equipment and furniture; monitor and update reconciliations; prepare and submit requisitions, check requests, travel authorizations/reimbursements and budget amendments; monthly review of prepayroll reports and distributions; authorized user of purchasing card; monitor and make recommendations regarding resource utilization and efficiency.
- ASSISTANT PROPERTY CONTROL OFFICER – Serve as Assistant Property Control Officer; submit asset management paperwork for transfer and/or surplus; complete annual inventory audit and property loan agreements; monthly review and maintenance of inventory; maintenance of departmental space.
- BUSINESS OPERATIONS – Process personnel actions for faculty, staff and students including time and attendance, effort reporting, recruitment, etc.; initiate personnel actions including epars, employment requests, faculty/staff recruitment and initial employment documentation.
- ADMINISTRATIVE SUPPORT – Provide support to the Chair, Faculty and students including calendar management, scheduling meetings, preparing agendas and meeting minutes, and coordinating program events.
- OTHER DUTIES – Perform all other job-related duties as assigned.
Required Qualifications
- High School Diploma or GED with a minimum of nine years of progressively responsible office support experience; OR
- Associate's Degree with a minimum of six years of progressively responsible office support experience.
Preferred Qualifications
- Three to five years of administrative and budgetary responsibilities in academic programs.
Knowledge, Skills & Abilities
- Knowledge: Proficiency with Microsoft Office (Word, Excel, Access, PowerPoint) and other software/databases.
- Skills: Excellent customer service, interpersonal, multi-tasking, organizational and verbal/written communication skills.
- Abilities: Coordinate multiple projects, meet deadlines, maintain confidentiality, keep accurate records, and make independent decisions; attention to detail, critical thinking and initiative.
Shift / Salary / Benefits
- Shift: Days Monday-Friday
- Pay Band: B5
- Salary: Minimum $17.88/hour; Midpoint $20.69/hour; final salary commensurate with qualifications
- Recruitment Period: Until Filled
- Benefits: Health/dental/life insurance, retirement plans, paid leave, holidays, and Tuition Assistance Program eligibility after six months of employment.
Conditions of Employment
- Background Check required prior to starting. Credit check may be required for Positions of Trust or purchase card usage. Motor vehicle reports for roles requiring campus vehicles. For Faculty hires, official transcripts may be required; foreign credentials evaluated as needed.
