The Group Retirement Plan Service Advisor is responsible for delivering exceptional service and support to clients sponsoring group retirement plans, such as 401(k), 403(b), or pension plans. This position focuses on managing relationships with plan sponsors, ensuring compliance with regulatory requirements, coordinating plan administration, and acting as a liaison between third-party administrators, recordkeepers, and internal teams. Knowledge and Requirements
Bachelor’s degree in Business, Finance, or related field preferred and 2-5 years of financial services experience. FINRA licenses (e.g., Series 7, 63, 65 or 66) and/or designation such as CFP or CPFA is preferred Knowledge of ERISA and DOL Regulations – Understanding the legal framework surrounding retirement plans. Familiarity with Plan Recordkeeping Platforms Understanding of Investment Products – Especially those commonly offered in retirement plans (e.g., mutual funds, GICs, target-date funds). Proficiency in Microsoft Office Job Skills
Proficient in Microsoft Office Time Management – Managing multiple client relationships and plan deadlines simultaneously. Project Coordination – Leading plan conversions, transitions, or implementations with internal and external stakeholders. Process Improvement – Identifying inefficiencies in plan servicing and suggesting improvements. CRM Systems – Experience with Salesforce, Redtail, or other client relationship tools. Retirement Plan Software – Understanding tools used by recordkeepers or TPAs. Microsoft Excel – For managing plan data, participant information, or creating benchmarking reports. Fiduciary Awareness – Understanding the importance of acting in the best interest of the client and participants. Confidentiality – Handling sensitive employee data securely and professionally. Continuous Learning – Staying up to date with industry changes, certifications, and product developments. Servicing
Oversees and coordinates all services provided to 401(k) and 403(b) plan sponsors and participants, ensuring timely and efficient execution. Acts as a liaison between internal teams and external providers to maintain high service standards. Conducts or supervises formal Plan Reviews with plan sponsors. Client Relationship Management
Respond to inquiries from plan sponsors and participants via phone, email, or virtual meetings. Proactively reach out to plan sponsors to schedule regular service meetings and address upcoming plan needs. Provide ongoing education and support to plan sponsors regarding plan features, fiduciary responsibilities, and compliance updates. Plan Administration and Coordination
Coordinate with recordkeepers, TPAs, and custodians to manage plan operations such as contribution changes, distributions, loans, and QDROs. Assist with onboarding new plans or transitioning plans from other providers. Ensure all plan documents and client records are up to date and compliant. Rollovers and Participant Support
Support Servicing Advisors with processing rollover requests, especially those related to employee transitions. Guide participants through enrollment, rollover, and distribution processes. Conduct or schedule participant education sessions as needed. Plan Monitoring and Reporting
Review plan investment scorecards or fund lineups quarterly for performance or compliance issues. Maintain plan information and assets in internal systems such as Firm Plus or CRM. Track service metrics, participant engagement, and plan health indicators. Plan Reviews and Benchmarking
Prepare agendas and materials for annual or semi-annual Plan Reviews with plan sponsors. Benchmark plan fees and services annually to ensure competitive value and alignment with service effort. Present benchmarking and review findings to leadership and plan sponsors. Compliance and Regulatory Support
Monitor and ensure compliance with ERISA, DOL, and IRS requirements. Coordinate and support annual testing, filings, and audit preparation such as 5500s and nondiscrimination testing. Stay updated on industry regulations and inform clients of relevant changes. Internal Collaboration
Work closely with internal advisors, client service teams, and investment specialists to deliver integrated plan support. Attend internal planning or strategy meetings to share insights from plan sponsor interactions. Support proposal creation or prospecting efforts as needed. Sales and Marketing
Collaborates with the CEO, Servicing Advisors, and support staff to drive sales and prospecting for group retirement plans. Distributes marketing materials, including Group Retirement brochures and client questionnaires, to prospective plan sponsors. Seniority level
