Overview

The Distribution Specialist for a seed company is responsible for overseeing the efficient movement of seed products from the warehouse to distributors and customers. This role involves coordinating shipments, managing inventory levels, and ensuring that seed products are distributed on time and in good condition. The Distribution Specialist will work closely with warehouse staff, sales teams, and logistics providers to ensure the smooth operation of the supply chain, maintain accurate records, and support the company’s overall distribution strategy. Responsibilities

Order Fulfillment and Distribution

Coordinate the shipment of seed products to distributors, customers, and regional warehouses, ensuring on-time delivery and proper handling. Prepare and process shipping documents, including bills of lading, packing lists, and invoices. Monitor orders and inventory to ensure products are available for shipment and prevent delays. Collaborate with logistics providers and transportation companies to arrange shipments and manage delivery schedules.

Inventory Management

Monitor and manage seed inventory levels in the warehouse to ensure sufficient stock is available to meet customer demands. Perform regular stock counts, reconcile discrepancies, and report inventory levels to the Distribution Manager. Coordinate with production teams to ensure timely replenishment of seed products in the warehouse. Track and manage product returns, exchanges, and damaged goods, ensuring proper documentation and resolution.

Warehouse Coordination

Work closely with warehouse staff to ensure accurate picking, packing, and loading of seed products for shipment. Ensure that seed products are stored and handled in accordance with company standards to maintain quality. Implement best practices for warehouse operations, including safety protocols and efficient storage solutions. Coordinate with the production team to ensure the correct packaging and labeling of seed products before distribution.

Logistics and Transportation

Arrange transportation for both domestic and international shipments, ensuring compliance with transportation regulations. Track shipments and provide status updates to internal teams and customers. Identify opportunities for optimizing transportation routes, reducing costs, and improving delivery times. Troubleshoot and resolve any issues related to shipping delays, damages, or delivery errors.

Record Keeping and Compliance

Maintain accurate records of shipments, inventory levels, and product movements within the distribution system. Ensure compliance with all regulatory requirements for the distribution of seed products, including shipping regulations and quality control standards. Prepare and submit required reports on distribution activities, including metrics on delivery times, inventory accuracy, and cost savings.

Cross-Functional Collaboration

Work closely with the sales team to forecast demand, plan shipments, and ensure customer satisfaction. Coordinate with customer service teams to resolve any distribution-related issues and provide timely updates to customers. Collaborate with the production and procurement teams to ensure smooth integration of seed production schedules and distribution plans.

Process Improvement

Identify opportunities for improving distribution processes, reducing lead times, and enhancing customer service. Support the implementation of new systems, technologies, and processes to increase the efficiency of the distribution network.

Education And Qualifications

Education

Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, Agriculture, or a related field is preferred. Relevant certifications in logistics, distribution, or supply chain management (e.g., APICS, CSCP) are a plus.

Experience / Skills / Abilities

Minimum of 2-4 years of experience in logistics, distribution, or warehouse management, preferably within the agriculture or seed industry. Strong understanding of logistics and transportation regulations, including import/export and freight handling. Experience with inventory management, order fulfillment, and working with logistics providers. Excellent organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment. Proficiency in Microsoft Office, particularly Excel, and experience with inventory management software or ERP systems. Strong communication and problem-solving skills, with the ability to work effectively across departments.

Job Expectations / Working Conditions

Travel

Occasional travel may be required to visit warehouses, production facilities, or meet with logistics partners.

Physical Demands

Ability to work in a warehouse environment, including standing, lifting, and moving materials up to 50 lbs.

Work Hours

Flexibility to work extended hours during peak seasons, such as planting and harvest times, to meet customer demands.
