Job Title: Strategic Meeting Planning Specialist
Client: Medical Device Manufacturing Company
Duration: 12 Months (with possibility of extension)
Location: Minneapolis, MN 55432
Shift: 1st Shift | 100% Onsite
Key Responsibilities
Onsite Event Logistics
Serve as primary onsite contact, overseeing catering, AV/production, transportation, and event setup/breakdown. Ensure branding, signage, and materials are properly coordinated. Provide VIP-level service to executives, speakers, and stakeholders. Resolve onsite issues promptly to ensure seamless attendee experience. Event Technology & Attendee Experience
Manage event check-in and registration using CVENT. Troubleshoot event technology and enhance attendee engagement. Act as main contact for vendors and venue staff. Data & Reporting
Track and analyze event data, engagement, and ROI via CVENT. Support post-event reporting and insights for leadership. Ensure accuracy in registration, lead capture, and performance metrics. Process Optimization & Collaboration
Work with marketing, sales, and operations to align events with business goals. Refine Workfront processes for smoother planning-to-execution handoffs. Recommend workflow enhancements for efficiency. Qualifications
Required: Bachelor’s in Hospitality, Marketing, Communications, Business, or related field. 2–4 years’ experience in event planning, logistics, or onsite execution. Strong organizational/problem-solving skills; ability to manage multiple events. Flexibility for early mornings, evenings, or weekends. Preferred: 3–5 years’ corporate event/conference planning experience. Background in healthcare, medical device, or technology industries. Experience with event analytics, vendor negotiation, budgeting, and sponsorship activation. Proficiency in
CVENT
(registration, mobile apps) &
Workfront
(or similar PM tools). Work Environment
Must work onsite at Medtronic Minneapolis facilities (primarily Rice Creek). Physical activity includes lifting event materials and standing for long hours. Fast-paced, high-energy environment requiring live problem-solving.
