Overview
The Precollege Enrichment Opportunity Program for Learning Excellence (PEOPLE) is seeking a Precollege Program Associate Director - Madison. This leadership role provides day-to-day administrative oversight and operations for precollege services located in the Madison precollege administrative office and partnership high school sites in Madison. The position oversees staff across program areas including recruitment and admissions, orientation programming, after-school tutoring (Academic Centers for Excellence - ACE), college preparation, advising, academic support, and summer residential programming. The role supports first-generation and low-income students in pursuing college access and degree completion and reports to the PEOPLE Program Director.
Responsibilities
Provide strategic oversight for precollege enrichment and college success services for PEOPLE Precollege Program Madison.
Support the execution and delivery of college readiness services (college preparation, academic enrichment, summer camp, college advising, student support).
Collaborate with the PEOPLE Program Director to monitor and implement ongoing program assessment to meet KPIs.
Develop and implement stakeholder engagement and education strategies outlining program services, expectations, policies, procedures, and philosophy.
Maintain accurate program internal information (handbooks, manuals, policies) and public-facing communications (advertising, newsletters, social media).
Assist in crafting annual performance reports as requested, documenting organizational success.
Identify opportunities for improvement and allocate staff and financial resources based on strategic priorities.
Budget Oversight and Management Responsible for the program-level budget for PEOPLE Precollege Program Madison, including planning, allocation, forecasting, and reconciliation of expenses from mixed funding sources (state dollars, grants, foundation funds, donations). Ensure compliance with federal/state regulations and campus/UW-system policies.
Personnel Management and Supervision Supervise Administrative Office staff (PEOPLE Precollege Program Madison), MMSD ACE Sites, and PEOPLE Summer University staff in Madison. Determine assignments, provide feedback and coaching, and conduct annual evaluations. Foster an environment of high morale and effectiveness. Develop and facilitate staff training on youth protection, FERPA, Clery Act, and Title IX.
Policy Development and Oversight Develop and ensure policies, procedures, and staffing comply with applicable laws. Communicate and train changes related to youth protection, FERPA, Clery Act, and Title IX. Ensure alignment with MOUs and grants/partnerships.
Partnership Development and Fundraising Build and expand partnerships with UW-Campus, local school systems, and other entities. Collaborate on fundraising opportunities and engage alumni/donor networks with program leadership and UW Foundation as appropriate.
Supporting Organizational Excellence Mentor staff to elevate the program’s profile through strategic communications. Serve on institutional/divisional/university committees and help set strategic priorities consistent with the program’s mission.
Key Job Responsibilities Serve on institutional/divisional committees as needed; ensure compliance with minor protection and safety policies; implement best practices for recruitment, retention, and engagement; supervise 2.0 FTE; develop policies/procedures; assist with budget development and monitoring; lead long- and short-term strategic plans; act as unit liaison to internal/external stakeholders.
Qualifications
Required : Minimum of 3 years leading, developing, and/or facilitating engagement, retention, and/or academic support programs for students and stakeholders in K-16 settings (preferably with K-12, government, or non-profit experience).
Experience leading/facilitating academic support programs and serving diverse, first-generation/economically disadvantaged students.
Ability to plan and implement leadership vision for an office/unit; experience building relationships with program, institutional, and community partners.
Preferred : Experience developing curricular/co-curricular programming for students; experience coordinating residential programs; familiarity with youth development policies; experience supervising teams; experience with program assessment using quantitative/qualitative measures; strong prioritization and initiative.
Education : Master’s degree preferred in higher education, student services, youth development, or a related field.
