Overview
As a Grants Program Operations Specialist in the Division of Cardiology at the University of Washington, you will manage and administer program operations for the Laboratory and Translational Sciences Program located on the South Lake Union Campus. The program conducts research across multiple laboratories to advance heart disease solutions. This full-time position reports to the Division Head and the Division Grants and Finance Manager and requires independent judgment, leadership, and knowledge of laboratory business operations. The role involves ongoing communication with principal investigators, steering committees, vendors, sponsors, and UW offices, and ensures compliance with university and sponsor rules. This position offers a hybrid work schedule; details discussed in the interview. Key Responsibilities
Research Funding Oversight (50% total emphasis listed as 30% in original): manage post-award funding and activities for foundation, federal research grants, and clinical contracts in compliance with university, state, and sponsor standards. Develop and prepare complex budgets and administrative sections of proposals; ensure budget adequacy; assist PIs with proposal documents; serve as a content expert on grants and post-award compliance; manage annual progress and final reports; review proposals for IRB/IACUC/SFI compliance; manage subrecipients/subcontracts; manage faculty salary distributions in Workday; identify new funding opportunities; stay current on relevant regulations; build relationships with funding agencies and campus offices. Finance Management (25%): independently manage the program’s overall budget (> $2M) including sponsored research, gifts, discretionary funds, endowments, and operational funds; develop agreements and manage revenue/expenditures; report on finances; support strategic initiatives. Ensure proper billing of shared resource charges; prepare financial reports; contribute to division policies and operations. Program Operations Management (20%): manage pre- and post-award grants and contracts; lead business planning and performance reporting; develop policies and procedures; maintain internal controls and audits; collaborate with UW Cardiology, UWMC, SLU Administration, Harborview, Heart Institute and partners; manage program space and facilities; ensure equipment needs are met and assets are managed; ensure compliance with regulations and advise faculty on compliance matters. Training Grant Program Management (20%): administer a 5-year T32 award (~$1.78M) with oversight for administrative and financial aspects; process new grant applications, supplements, appointments, stipends, and payroll allocations; coordinate NIH and UW processes; manage trainee stipends and compliance; organize events and steering committee meetings; establish program policies and ensure data requests and reporting; provide consultative support for the program. Other Responsibilities (5%): assist with manuscript preparation timelines; organize information to improve workflow; participate in division-wide projects and workgroups. Minimum Qualifications
Bachelor’s Degree in Business Administration or related field and two years of experience. Equivalent education/experience may substitute for listed qualifications (except where legal requirements apply). Additional Requirements
Experience with research administration or grant proposal preparation Excellent oral and written communication skills Strong organizational skills and attention to detail Ability to interact with people from diverse backgrounds Interpretation of financial data and preparation of summary financial reports Proficiency in Excel, Workday or similar HR/Finance systems, with understanding of finance principles Desired Qualifications
Two or more years of experience in research and/or healthcare administration in a university or non-profit setting Experience with UW fiscal, purchasing and administrative systems and departments Experience working with laboratories Compensation, Benefits and Details
