The Manager of Events is responsible for planning, organizing, and executing high-quality conferences, meetings, and events that support the mission and vision of the organization. This role oversees vendor and exhibitor relations, manages event budgets, coordinates program content, and ensures a seamless experience for attendees, sponsors, and partners.
Position Overview
The Manager of Events will also provide strategic input into event growth and engagement while supervising event staff and contractors as needed. Key Responsibilities
Event Planning & Management Negotiate, review, and execute hotel and vendor contracts. Develop and manage meeting budgets; reconcile invoices and prepare cost/revenue analyses. Implement production schedules to ensure all tasks and deadlines are met. Work with Program Chairs to develop content, prepare agendas, and assist with speaker selection. Confirm and coordinate speaker travel, lodging, and presentation requirements. Plan and oversee all meeting functions, including scientific, business, social, and recreational events. Manage Continuing Medical Education (CME) application and compliance processes. Coordinate production and distribution of communications, programs, registration details, and promotional materials. Serve as on-site manager and primary point of contact for attendees, staff, and venue personnel. Prepare post-meeting reports, including attendance metrics, evaluations, and financial summaries Seek financial support and sponsorship to enhance events and conference programming. Manage exhibitor recruitment, booth sales (~300 exhibitors; ~$400K–500K revenue), and on-site floor management. Develop exhibitor communications, including prospectuses, confirmations, invoices, and promotional content. Maintain exhibitor database and ensure timely processing of contracts, payments, and post-event reporting. Coordinate with decorators and other vendors to support exhibitor services. Identify and build partnerships with potential membership and event supporters. Registration & Communications Manage meeting registration in Cvent, including attendee communications, confirmations, and follow-up. Process meeting registration and exhibitor fees. Provide excellent customer service and timely responses to inquiries. Manage resident, medical student, and fellow abstract competitions. Qualifications
Minimum five (5) years of experience in conference management, education or association management, or marketing, including at least one (1) year in a supervisory role. Certified Meeting Planner (CMP) designation strongly preferred. Knowledge of medical education and nonprofit/association management is preferred. Proven track record in event management, budgeting, marketing, and contract negotiation. Strong problem-solving skills with the ability to multi-task, prioritize, and meet deadlines under pressure. Excellent written and verbal communication skills. Ability to work collaboratively across departments and with external stakeholders. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience with Raiser’s Edge, NetCommunity, Cvent, and Microsoft Teams, preferred.
