Billing & Financial Analyst

to join our Finance team. This role is central to ensuring accurate, timely, and efficient billing across multiple entities, while also managing project financial data, supporting accounts receivable, and helping maintain accurate reporting for leadership. As part of a fast-moving digital agency that works with major entertainment brands, you’ll have regular exposure to senior leadership and the opportunity to collaborate across teams. This role is a great fit for someone who enjoys the structure of billing and project finance operations but also wants to build analytical skills and grow into broader finance responsibilities over time. Responsibilities

Manage client billing across multiple entities, including monthly retainer billing, out-of-pocket (OOP), and media billing. Navigate different client billing requirements: portals, purchase orders, billing schedules, multiple approvers, and custom formats. Investigate and resolve invoice discrepancies by liaising with internal teams and client contacts as needed. Support department Directors with entity-specific billing preparation. Attend budget meetings and proactively identify projects ready for billing. Prepare and submit Purchase Order Requests (PORs); maintain and update client-shared POR trackers. Follow up with clients on outstanding PORs until POs are received. Track trends across entities (billing delays, client payment behavior, PO bottlenecks) and recommend process improvements. Revenue & Collections

Monitor accounts receivable; lead monthly AR meetings with leadership. Manage collections by following up on past due invoices and escalating issues when necessary. Project Finance & Systems

Open and maintain projects in NetSuite (requests submitted via Slack), ensuring accurate dates, budgets, and billing details. Reconcile project costs with AP, Controller, Account Leads, and Producers. Close projects in NetSuite and archive in Harvest upon completion. Assist with ensuring teams have entered their hours into Harvest, pull weekly time data and format CSV files for upload into NetSuite to keep project actuals up to date. Drop weekly project reports into budget trackers in preparation for weekly budget meetings. Support Finance leadership with audit requests, reconciliations, and maintaining compliance with client contract billing requirements. Support ad hoc finance projects that improve efficiency and reporting, such as maintaining SOPs, streamlining billing trackers, assisting with system and process enhancements (NetSuite, Harvest, client portals), and occasionally supporting revenue and cash flow projections. Requirements

3–5 years of experience in billing, project accounting, or financial analysis (agency/creative/media industry a plus). Strong analytical skills; ability to interpret financial data and generate insights. Experience with revenue forecasting, variance analysis, or financial modeling a plus. Proficiency in ERP systems (NetSuite preferred) and time tracking platforms (Harvest a plus). Proficiency with Excel/Google Sheets (pivot tables, advanced formulas; bonus if exposure to BI/reporting tools). Excellent communication skills for liaising with Finance leadership, internal teams, and clients. Highly detail-oriented with strong organizational skills and the ability to manage competing priorities. What This Role Offers
