The Legal Executive Assistant (LEA) supports lawyers by managing the daily functions of an attorney's practice, allowing them to concentrate on developing and sustaining their practice. The LEA serves as an executive level assistant for the attorney, creating connections, delivering critical information, ensuring meetings and materials are accurate, and serving as a trusted business partner to help deliver against the priorities of the practice and clients. The LEA collaborates with Legal Administrative Assistants (LAA) and Legal Support Assistant (LSA) team members who provide support to the attorney’s legal team. This role requires both administrative competence and a thorough understanding of the procedures, business context, terminology, and documents seen in an attorney’s practice. The LEA plays a critical role in ensuring the smooth operation of the attorney’s practice area and representing the Firm professionally.

Location This position is located in our Baltimore office and offers a hybrid work schedule.

Responsibilities

Provides support and management of the attorney’s projects, ensuring deadlines are met and tasks are completed efficiently. Consults with lawyers and administrative teams to ensure project milestones are adhered to.

Serves as a liaison between attorneys, clients, and internal departments, handling inquiries and relaying messages accurately. Uses independent judgment and makes sound decisions when responding on behalf of the attorney.

Develops and maintains professional relationships to ensure teams work together efficiently. Provides clear direction and constructive feedback on projects. Builds trust, resolves conflicts, and collaborates with all levels of the organization.

Delegates assignments as necessary to LSAs and AskLegalSupport, monitors progress, and communicates with support teams to ensure successful outcomes. Delivers service feedback and suggests improvements to firm management.

Collaborates with other LEAs or LAAs to complete complex projects and provides mentorship to LSAs.

Provides feedback for the professional development of LSAs and offers ongoing mentoring and opportunities for improvement.

Drafts, proofs, and finalizes legal documents, correspondence, and presentations on behalf of the attorney. Reviews accuracy of final work and provides feedback to internal support teams to improve outcomes.

Oversees maintenance and organization of electronic and paper filing systems within the firm’s DMS/repositories to ensure accessibility and up-to-date materials.

Conducts research on behalf of the attorney and practice group, compiling information for case preparation and executive briefings. Coordinates with support teams to prepare presentations and materials.

Oversees meeting planning and coordinates with internal and external parties to ensure logistics are in place. Prepares agendas and ensures presentations and materials are available. Provides needed support during meetings and manages requests promptly.

Oversees billing matters, including forms and correspondence, ensures prebills are processed timely, and acts as a liaison with the Billing Department. Ensures final bills are delivered on time and follows up as requested by the attorney.

Manages the attorney’s calendar, schedules meetings, resolves conflicts, and coordinates complex travel itineraries. Communicates potential conflicts to the attorney and offers solutions. Ensures expenses and time entries are processed correctly by AskLegalSupport.

Ability to handle confidential information with integrity and to provide solutions and support for requests and challenges.

Strong interpersonal skills to interact with lawyers, clients, business professionals, and firm support teams. Ability to convey complex information clearly, both in writing and verbally.

Process-driven with excellent time management, able to prioritize and multitask in a fast-paced environment. Attentive to detail and proactive in planning. Able to work under pressure and maintain a positive, productive attitude. Willing to request assistance from firm resources when needed.

Expertise with technology and firm software. Proficient with research tools, case management software, accounting software, and production applications (Word, PowerPoint, Excel) and able to adapt to upgrades. Familiar with AI-powered tools for document production, review, and case research. Comfortable using Zoom and Teams for collaboration.

Education and Experience

Minimum Education:

High School or GED

Preferred Education:

Bachelor’s degree in legal studies, business administration, or a related field.

Minimum Years of Experience:

5 years in an administrative role within a corporate or legal environment supporting upper-level leadership.

Physical Demands Sedentary work: Exerting up to 10 pounds of force occasionally; predominantly sedentary with extended sitting and keyboard use.

Work Environment The position may offer a hybrid work arrangement (remote and in-office) with details determined by the hiring manager and may be modified in the firm’s discretion in the future.

The firm’s hiring range is $42.42 - $69.99 per hour, depending on location. Compensation is based on experience and qualifications, with a comprehensive benefits package including medical/dental/vision insurance and a 401(k).
