Job Description: The Director of Conference & Event Services is responsible for providing strategic leadership, operational oversight, and high-level coordination for all university-hosted events, external rentals, and youth camps/programs and conferences.
The Director of Conference & Event Services will ensure a seamless experience for both internal stakeholders and external clients by managing facility use, event logistics, and compliance with applicable university policies and state/county regulations. The Director also plays a key role in managing and executing contracts/sales, contract negotiations, and financial oversight of event services and the department’s budget.
This position plays a key role in revenue generation through the effective marketing and utilization of university spaces and in building strong relationships with departments and external partners. The director works closely with campus departments, including, but not limited to, Facilities, Public Safety, Athletics, and Marketing to support events that advance the university’s mission and reputation.
This position is a full-time, in-person role with the expectation that additional hours, including nights and weekends, may be necessary to meet deadlines and support events.
Duties & Responsibilities
Provide leadership for all internal and external events on campus, ensuring alignment with university policies and delivering exceptional customer service and event experiences. Manage the Conference & Event Services team by providing leadership, mentorship, performance guidance, professional development opportunities, and strategic direction to ensure team effectiveness and alignment with university goals. Develop, manage, and monitor the department's annual budget and financial goals, including rate sheets and cost recovery plans. Develop and manage revenue generation strategies and tactics for the utilization of university spaces. Event Management
Lead management and coordination for all external events, growing revenue generation for the department. Coordinate with the Assistant Director of Special Events on signature university events such as Convocation, Homecoming, and Commencement. In coordination with the Events & Youth Camps Coordinator, manage all youth camps and programs hosted on campus and ensure full compliance with all State of Maryland and Prince George’s County regulations governing youth camps. Develop and maintain an updated events strategy and calendar, including key signature university and academic events. Administrative & Operational Support
Oversee contract development, negotiation and execution for internal and external events. Prepare detailed cost estimates, ensure timely collection of deposits, contracts, and insurance documentation, and manage financial reporting in coordination with the Accounting Specialist. Oversee the invoicing process and ensure accuracy and compliance with event contracts in coordination with the Accounting Specialist. Lead the coordination and assessment of Conference & Event services policies and protocols, in addition to relevant university policies and procedures. Supervise staff, support their training and certification, and ensure effective internal communication and collaboration. Perform additional duties as assigned by the Vice President for Marketing & Communications. Minimum Qualifications
Required: Bachelor’s degree in Hospitality Management, Event Management, Business Administration, or a closely related field. Strong knowledge of the hospitality and events industry, with 8-10 years of experience in conference and event planning, logistics, and large-scale event execution. Experience in managing youth camps or programs. Ability to manage multiple projects simultaneously, prioritize effectively, and meet tight deadlines in a fast-paced environment. Strong planning, organizational, and problem-solving skills with a high level of attention to detail. Excellent written and verbal communication skills. Strong interpersonal skills and a proven ability to work collaboratively with a diverse campus population. Ability to work evenings, weekends, and extended hours as required by event schedules.
