The position-holder is responsible for coordinating the planning, promotion, and successful implementation of departmental and student-related academic programming and communications. Schedule: Full-time during the Academic Year (10 months) and Part-time during the Summer (2 months). Essential Job Functions Student Academic Planning and Coordination (30%): Work with the administrative assistant and College of Arts and Sciences professional advisors and departmental advisors to coordinate and triage the needs of Psychology students to plan necessary coursework for on-time graduation. Analyze student registration needs each quarter with pre-registration survey. Explain different undergraduate degree options/requirements to prospective students. Coordinate Undergraduate External and Internal Practicum Placements (20%): Maintain relationships with current sites and supervisors. Investigate new placement options across industries that employ and/or train psychologists (inside and outside of the academy). Facilitate student evaluations with site supervisors. Be first point of contact for site supervisors to contact with questions. Coordinate Departmental Conferences and Events (25%): Coordinate and broadly publicize colloquia each quarter with outside speakers (recruited by chair). Coordinate with academic calendar to coordinate events. Organize two existing departmental research conferences, hosting 30-40 research presentations across our undergraduate and graduate programs. Coordinate with instructors of courses and mentors of graduate research theses to identify scheduling needs, including program timing. Communicate with faculty to identify and train emcees and point-persons for events. Produce and format research conference promotional materials for website, social media, and programs. Manage inquiries from faculty, instructors, and students. Other event coordination; reserve rooms, technology, and catering as needed; day-of event coordination including room setup and welcoming attendees; technological facilitation of online sessions as needed. Front Desk Work (15%): Manage the department’s outward-facing front desk, handle walk-in questions from students, supervise student workers (in coordination with the administrative assistant), and answer phone. Website Maintenance, Social Media, and External-facing Communications (5%): Maintain the departmental website in coordination with the Director of Marketing and Communications; track and post student awards/featured students and faculty; collate alumna news and posting of colloquia and related information; track and post employment, volunteer opportunities, and general communications; draft, edit, and proofread website documentation for multiple audiences; design and manage websites via the university CMS; provide technical assistance and coordinate complex IT tasks as needed. Regular Alumni Outreach (5%): Coordinate with Seattle University Alumni Relations to engage alumni outreach; create a repository of information on post-graduate outcomes; collate a network for career planning/mentors with alumni; maintain/update networks via online platforms (e.g., LinkedIn). Marginal Job Functions : Other tasks as assigned. Qualifications Bachelor's degree or some college with four or more years of progressively responsible experience in program coordination, or an equivalent combination of education and experience. Ability to work independently with little supervision, as well as on team-oriented projects. Ability to complete an online computer skills assessment administered by the Office of Human Resources (MS Word, MS Excel, MS PowerPoint; ability to manage scheduling via MS Outlook and update websites using a CMS). Strong interpersonal skills with the ability to interact with diverse groups and manage confidential information; effective communication by telephone, in person, and in writing; strong writing and editing skills; highly organized and detail-oriented. Compensation At a Glance Salary Range: $48,536 - $50,719 Seattle University notes that compensation ranges are good faith estimates and final offers are based on qualifications, budget, internal equity, and market data.
