Talent Acquisition Executive Recruiting Coordinator Job Summary: Talent Software Services is in search of a Talent Acquisition Executive Recruiting Coordinator for a contract position in Round Rock, TX. The opportunity will be three months with a strong chance for a long-term extension. Primary Responsibilities/Accountabilities: Interact with hiring managers to understand job requirements. Source, screen, and interview applicants in line with requirements and ensure that the reference checking process is completed. Source candidates directly in the marketplace and develop candidate pools within respective market streams. Work with hiring managers to develop strong selection processes through the use of creative and innovative techniques and tools. Coordinate interviews with hiring managers and defined panels. Develop offers in line with approved guidelines, negotiate offers, and finalize start dates with candidates. Continue interaction with candidates until they join the organization. Lead and close all formalities related to the onboarding of candidates. Accountable for compliance and document tracking requirements as per defined process guidelines and audit requirements that conform to the local labor code. Conduct research and analyze data on assigned projects, including agency performance. Exercise judgment on the right sourcing channels to be used. Responsible for managing hiring using appropriate strategies to ensure the best quality of hire and cost per hire. Utilize MyJobs system throughout the talent acquisition process. Develop networks of people and processes to support a strong pipeline of qualified candidates. May provide performance feedback on all recruiting agencies/sources. May develop, support, and maintain employment advertising campaigns, college recruiting, affirmative action, and career development programs. Support team or other team members on specific project-based hiring requirements through developing appropriate strategies. Develop and manage strong consultative relationships with hiring managers and candidates. Focus on coordination of talent acquisition and onboarding activities. Support talent acquisition shared services. Facilitate new hire orientation sessions both in person and over the phone. Facilitate document collection, monitor background and drug screen results, and resolve various onboarding issues. Support more senior-level team members. Work on hiring for high-volume positions and/or jobs that are administrative, operational, or internal in nature. Work is regularly reviewed by senior-level team members or leadership. High volume and routine hiring and/or internal hiring require significant detail in following set policies and practices to achieve consistency and compliance. Ability to lead candidates and hiring managers through processes is key to success. Ensure processes are followed. Executive Interview Coordination: Schedule and manage complex interviews across global time zones, partnering closely with executives and their EAs to ensure alignment and discretion. Candidate Concierge Experience: Provide a white-glove experience for executive candidates, including travel arrangements, expense coordination, and personalized onsite interview support. Stakeholder Engagement: Act as a liaison between executive recruiters, hiring leaders, and EAs to ensure smooth communication and process execution. Administrative & Operational Support: Prepare interview agendas, candidate packets, and other documentation. Manage candidate reimbursements and maintain accurate records in the ATS. Meeting & Event Logistics: Coordinate internal meetings, candidate engagement sessions, and executive recruiting events with precision and professionalism. Communication Excellence: Deliver clear, timely, and professional communication to candidates and stakeholders. Maintain confidentiality and a high level of discretion. Qualifications: Minimum of 5 years of relevant recruiting coordination experience in a large corporate setting. Proven experience supporting executive-level recruiting or coordination. Strong background in managing travel, expenses, and interview logistics. Experience working directly with senior executives and their EAs. Exceptional attention to detail and organisational skills. High sense of urgency and ability to manage multiple priorities. Excellent written and verbal communication skills. Proficiency with applicant tracking systems (ATS) and scheduling tools.
