Two open positions available, with 15 to 25 hours a week during the off-season and considerably more hours during Spring Training (February - March). A flexible schedule is a must, including some weekends, at a rate of $15.00/hour.
JOB DESCRIPTION: As the Administrative Assistant for one of our two locations, you will be the first point of contact for our company, offering administrative support across the organization, welcoming guests, and greeting people who visit.
RESPONSIBILITIES:
- Greet and welcome guests upon arrival.
- Guide visitors to the appropriate person and office.
- Oversee schedule for conference rooms and company vehicles.
- Answer telephones, direct calls, and take messages.
- Communicate with visitors, employees, and other individuals.
- Ensure reception area is tidy and presentable at all times.
- Inventory, order, and stock all office and other general supplies needed.
- Inventory, order, and stock all break room supplies.
- Organize and neaten all break room and copy room areas.
- Open, sort, and route incoming mail and prepare outgoing mail.
- Type, format, proofread, and edit documents.
- Make travel arrangements for office personnel.
- Arrange the shipping and receiving of mail and possibly packages.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Provide general administrative support as needed.
- Other duties as assigned.
QUALIFICATIONS:
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office.
- Hands-on experience with office equipment.
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.
